Getting started with Zoom Phone (users)

The Zoom Phone quick start guide assists end users with setting up your Zoom Phone account and using essential features like making calls and checking voicemail. Read this quick start guide for a quick summary of the features and click the embedded links to learn more.

Initial setup 

If your Zoom Phone admin assigned you a Zoom Phone license, you will get an email notification with a link to set up Zoom Phone.

  • Click the link at the bottom of the email notification. If you didn't get an email, sign in to the Zoom web portal and click  Phone .

  • Country and area code : The area code is used when you dial local numbers.
  • Timezone : Make sure you set the correct timezone. It will affect several Zoom Phone features including your business/closed/holiday hours and desk phones assigned by your admin.
  • PIN : Enter a voicemail PIN used to check your voicemail on desk phones assigned by your admin. You will not need the PIN to check voicemail using the Zoom desktop, mobile app, or web portal.
  • Click Setup .

After the initial setup, you should adjust your Zoom Phone settings  in the web portal.

  • Sign in to the Zoom web portal.
  • Click Phone , then click the Settings tab. Here are a few essential settings you may want to change:
  • Emergency Address : Displays the address provided to first responders when dialing an emergency number. Make sure this address is correct.
  • Business/Closed/Holiday Hours : Change the times when you can answer calls. 
  • Voicemail Greeting : Audio that plays before Zoom Phone routes calls to your voicemail. You can customize this by recording audio directly in the web portal or uploading an audio file .

By default, you can call the contacts directory in the Zoom desktop client or mobile app to call people in the same organization. Follow these articles to add contacts from third-party services:

  • Zoom Desktop client : Sync your contacts with Google, Office 365, or Exchange . After syncing your contacts, you can add synced contacts using your call history  or voicemail .
  • Zoom mobile app : View your phone's contacts in the Zoom Phone mobile app.
  • Zoom Web App: Search through your internal and external Zoom contacts .

After setup, you can start making and receiving calls using Zoom Phone . Make calls using the dial pad or search through your internal, external or synced contacts. For incoming calls, you can decline a call to route it to your voicemail.

While in a call, you can:

  • Access in-call controls like hold, record, and transfer .
  • Start a Zoom meeting with the other person on the call.
  • Use call flip  to switch the device you are using for the call.

Zoom Phone forwards all unanswered and declined inbound calls to your voicemail. You can use the Zoom desktop client, mobile app, Zoom Web App, or web portal to play and manage your voicemail messages .

After making, receiving, or recording calls, you can check your call history and recordings on the Zoom desktop client, mobile app, Zoom Web App, or web portal.

If your Zoom Phone admin sets up a desk phone for you, you can use it to make and receive calls and check voicemail. See our quick start guide for Polycom VVX series and Yealink T4/T5 series phones. Desk phones don't support all  Zoom Phone features .

Once you are familiar with Zoom Phone, use these features to further enhance your experience:

  • Zoom Desktop Client, Mobile App, Zoom Web App settings : View your Zoom Phone information including your company number, extension number, and direct phone numbers. You can also change settings for inbound call notifications.
  • Blocked list : Change your settings to block specific phone numbers or prefixes from calling you.
  • Call delegation : Assign another phone user to make and receive calls on your behalf.
  • Shared voicemail inbox : Share you voicemails with another phone user in the same organization.
  • Click to dial : Change your settings on Mac or Windows so you can click on a phone number to dial it in Zoom Phone.

Manage phone numbers for users

When you set up Calling Plans, Operator Connect, or Teams Phone Mobile, you assign phone numbers to your users. In Microsoft Teams, the phone number that you assign is listed when a user clicks Calls .

This article applies to Calling Plans, Operator Connect, and Teams Phone Mobile. For information about assigning, changing, or removing a phone number from a user in a Direct Routing scenario, see Enable users for Direct Routing, voice, and voicemail .

Before you assign a number for a Calling Plan, Operator Connect, or Teams Phone Mobile user, you must get numbers for your users. For more information, see Get numbers for Calling Plan users , Set up numbers for Operator Connect users , or Set up numbers for Teams Phone Mobile users .

One way to see whether a user has a license assigned is by going to the Microsoft Teams admin center > Users . If a license is assigned, it will be indicated on the page. You can also use the Microsoft 365 admin center.

This note applies to customers who have a hybrid deployment with an on-premises Active Directory. If you want to assign a Calling Plan or Operator Connect phone number to a user or resource account, you must ensure that any phone number stored in the msRTCSIP-Line attribute on the user or resource account object in the on-premises Active Directory has been removed, and the change has been synchronized to Microsoft 365.

Assign a phone number to a user

When assigning a phone number to a user, make sure the phone number and the usage location of the user are of the same country/region.

To assign a number by using the Teams admin center:

Open the Microsoft Teams admin center and log in with a user that is a Global admin. This is usually the account you used to sign up for Microsoft 365.

In the left navigation, click Voice > Phone numbers .

On the Phone numbers page, select an unassigned number in the list, and then click Edit .

In the Edit pane, under Assigned to , search for the user by display name or user name, and then click Assign .

To assign or change the associated emergency location, under Emergency location , search for and then select the location.

If you are assigning numbers to Operator Connect or Operator Connect Mobile users, you may or may not be able to assign or change the associated emergency location. This functionality will depend on your Operator. Contact your Operator for more information.

Depending on whether you want to send an email to the user with their phone number information, turn off or turn on Email user with telephone number information . By default, this is on.

Click Save .

To assign numbers by using PowerShell, use the Set-CsPhoneNumberAssignment cmdlet as follows:

Because of the latency between Microsoft 365 and Teams, it can take up to 24 hours for users to be enabled. If the phone number isn't assigned correctly after 24 hours, see Phone Number Service Center .

When you assign a phone number, the EnterpriseVoiceEnabled flag is automatically set to True.

Change a phone number for a user

To change a phone number for a user by using the Teams admin center:

In the left navigation, click Users , locate and double-click the user you want, click Account , and then under General information , make a note of the phone number that's assigned to the user.

On the Phone numbers page, select the number that you identified in step 1, and then click Edit .

In the Edit pane, under Assigned to , click the X to remove the user.

If you are changing numbers for Operator Connect or Teams Phone Mobile users, you may or may not be able to assign or change the associated emergency location. This functionality will depend on your Operator. Contact your Operator for more information.

Remove a phone number from a user

To remove a phone number by using the Teams admin center:

On the Phone numbers page, select the number that you identified in step 2, and then click Edit .

Assign Site to Zoom Phone Number before number is assigned to user via api

Is there a way via api to assign the site(site ID) to the zoom phone number before it is actually assigned to a user. We are porting over numbers and would like group them via Site that we have created before it is assigned to a user. Currently they are defaulting to “Main Site”.

This will eventually be attached to a ServiceNow Catalog Item where users can lookup numbers based on location(Site).
