Personal schedules and lists
Stay on top of your daily and weekly tasks with these time-management strategies.
1. Daily to-do list example
Best for: Daily goal-setting and prioritizing micro-tasks.
Daily to-dos are action items that you write down in a notebook or check via your to-do list software tool at the beginning of each day. Tracking your to-dos can help you ensure you’re getting all of your important work done for the day and that nothing is falling through the cracks.
The act of writing down your daily deliverables helps you visualize the work you need to complete. Because everything is written down, you can easily understand each task’s priority and see which tasks you need to complete when. At the end of the day, check your to-dos for tomorrow so you can start the day with your best foot forward.
2. Checklist example
Best for: Ordering daily deliverables in sequential order.
The way you organize your to-do list can impact how and when you complete tasks. By creating a checklist, you can ensure your deliverables are clearly defined and in sequential order by priority.
A checklist time management template can be categorized from most important to least important, so you can ensure your highest-priority tasks are completed first. Plus, the act of checking off each to-do can bring relief knowing that one less task is on your to do list.
3. Daily planner example
Best for: Planning daily activities to prevent unfulfilled goals.
A daily planner is great if you frequently get overwhelmed by your daily to-dos and like to have a plan of action for your day. A daily or weekly planner is different from a to-do list because it accounts for more than just deliverables. It includes all moving parts of your day, including meetings, breaks, deliverables, and anything else that consumes your workday.
A study done in 2011 found that creating a plan can help offload the mental burden of unfulfilled goals. By planning your day around meetings, tasks, and project deliverables, you can have a daily roadmap that helps you time block and accomplish your action items.
4. Weekly schedule example
Best for: Planning your workload a week in advance to hit deadlines.
Beyond daily to-dos, it can be helpful to plan your work for the week ahead. This involves making a schedule of tight deadlines like daily tasks, open-ended deadlines like larger projects, and everything in between.
You’ll then want to prioritize these tasks based on deadlines and importance as it pertains to team objectives. This way you can align goals to the work needed to complete them.
5. Simple example
Best for: Staying on track with micro-tasks.
When it comes to time management, simple is often better. If you already have a strategy in place but need a little more structure to the chaos a simple time management worksheet might be the solution for you.
A simple template might include a brief overview of weekly task lists and deadlines to hit. A checklist format would suffice for this option, but for those who prefer to visualize their work you can use a whiteboard calendar to make it fun. The difference is that a simple template only includes the next few tasks on your agenda, which keeps the layout straightforward.
Time tracking tools
Before you can manage your time, you need to understand how you're spending it. With these strategies, you can reclaim each minute of your day.
6. Time log example
Best for: Tracking task duration and workload allocation.
Logging your time is one of the most difficult parts about managing a structured plan. Between working on important tasks and responding to teammates in real time, where does the time go?
Keeping a time log template can help you track how long it takes to complete work and allows you to analyze your daily, weekly, and monthly time allocations. Time log templates are useful for tracking how much time you’ve spent on past work, but they also help with future planning as well. Once you have a sense of how long each task takes, you can plan for future projects based on the estimated time it takes for each task to be completed.
7. Activity log example
Best for: Teams who work on multiple projects at the same time.
In a perfect world, your time would be spent only on completing your assigned tasks. Unfortunately, that’s not always the world we live in and many teams suffer from busywork which impedes on their overall efficiency. In fact, the average knowledge worker spends 60% of their time on work about work—things like searching for documents, chasing approvals, or attending status meetings.
An activity template helps you track all activities you do in a day so you can identify and reduce work about work. For example, while you may only have two tasks to complete that day, you may also have two meetings to attend, a fire to put out with a past project, or miscommunication that needs to be cleared up with a teammate. Logging these activities can give you a clearer picture of where your time is being spent and present opportunities to improve your current processes.
8. Time budget example
Best for: Analyzing time allocations and budget details.
You may be familiar with the saying “Time is money,” but how exactly can you ensure your time is being utilized efficiently? While there isn’t a one-size-fits-all approach, tracking your time in correlation with your budget can help put your time allocation in perspective.
You can do this by first tracking the time it takes you to complete each task within a project. Then assign a budget number to each entry by taking the project budget and dividing it by the time it took you to complete each task. While it may not be 100% accurate every time, you can get a rough idea of where your time is going and share it with stakeholders to increase visibility.
9. Pomodoro technique example
Best for: Individuals that struggle with procrastination and are easily distracted.
If creating a daily or weekly to-do list makes you feel overwhelmed, you may want to try using the Pomodoro technique . This technique involves pairing focused work sessions with frequent short breaks, with the objective of boosting your productivity and reducing mental fatigue.
A common working time ratio is 25 minutes of working to 5 minutes of break. You can begin using this technique by scheduling your daily tasks around these 25-minute working blocks to have peace of mind that your to-do list will be complete at the end of the day.
Task prioritization techniques
When it comes to productivity, prioritization is key. Here are some tools to help you decide which tasks are urgent, and which ones can wait.
10. Priority example
Best for: Categorizing tasks based on importance for efficiency needs.
When you have a long to-do list ahead of you and back-to-back meetings, it can sometimes seem impossible to manage your time effectively while completing your tasks. That’s where priority planning comes in.
A priority template can help you rank each task on your list by importance, ensuring your most important tasks are completed first. This can help organize your to-do list on even the busiest days. Try ranking each project on a scale of one to three, or color coding based on highest priority.
11. Procrastination example
Best for: Teams that struggle with procrastination and efficiency issues.
We’ve all been there before—you have a long list of to-dos but find yourself putting them off until the last minute. Procrastination is something many of us struggle with, but there is a way to combat the negative effects.
Creating a procrastination template can help you prioritize the top tasks needed to get done one day at a time. This will keep you from becoming overwhelmed by the longer weekly to-dos. You may also want to try a time management strategy like the Pomodoro technique where you work for short intervals of time and take frequent breaks to alleviate stress. The key is to try different methods and find the right one for you. Start by prioritizing the most important tasks, and move on to taking short breaks if you’re still struggling.
12. Someday example
Best for: Planning future projects that are lower in priority but still important.
We’re all guilty of keeping our focus on short-term tasks at least some of the time—after all, there are deadlines to be met. But it can be helpful to spend time considering long-term tasks you’d like to tackle some day.
You can use a someday time management template to make a list of future projects you’d like to take on—either as a team or as an individual. That way, the next time you have a little extra free time you can work on your someday tasks. You can start by listing out project descriptions and then assigning teams that would be involved to get the ball rolling.
13. Free time example
Best for: Proactively prioritizing long-term projects.
If you’re ever in a situation where your workload is light and you want to work on proactive action items, try using a free time template by listing out tasks on your someday list. You can start by breaking your someday tasks into their own work breakdown structure , where you’ll begin planning out smaller deliverables.
These tasks can be larger business wants like an improved process or team wants like organizing a team bonding activity . Save these free time tasks for the end of the week when your priority tasks are finished and use it to catch up on projects you’ve been wanting to tackle.
Team planning templates
Managing a team requires organization. With these templates, you can keep your team members aligned and make the most of everyone's time.
14. Team goals template
Best for: Aligning smaller tasks to larger project goals.
One of the biggest challenges when it comes to time management is connecting tasks to larger project goals. This is especially true for teams that typically work in silos and don’t have a connected platform for time management tracking.
A way to combat this is by using team goal templates so all stakeholders understand the necessary project objectives and how their work connects to the larger picture.
15. SMART goals example
Best for: Proactive goal-setting and task roadmapping.
If setting goals and tracking progress helps your productivity, then using a SMART goals template might be for you. SMART is an acronym that stands for S pecific, M easurable, A chievable, R ealistic, and T ime-bound. SMART goals help you hit ambitious goals with clear communication and alignment.
Communicating your goals ensures that you have transparency when it comes to aligning tasks and objectives. Plus, you can start each day with a clear roadmap and trackable metrics.
16. Action items example
Best for: Organizing daily or weekly action items by priority.
Another way to organize your workload is to highlight the most important action items of your day and accomplish those tasks first. This is called an action items template.
Scheduling your day around action items will ensure your priority tasks are accomplished by the end of the day. This will also allow you to work on important tasks for the rest of the week.
17. Team brainstorm template
Best for: Creative teams that need help ideating effectively.
Team brainstorming is a creative way to ideate new business opportunities. That said, without the right time management skills, your brainstorming meeting could end up being unproductive . That’s where a team brainstorm template comes in.
With a plan in place, everyone can add their ideas collaboratively in one shared document. Then, you can get together to talk through the top ideas and key action items. You can also try out different brainstorming techniques to find the meeting activity that best fits your team dynamic.
18. Workflow example
Best for: Refining internal processes and procedures.
A workflow is an end-to-end process that connects the right people to the right data at the right time. Workflows are incredibly valuable, but they take time and effort to build.
Even with the right workflow management software , it may take some time to gain effective time management skills since it can be a challenging endeavor. But with the right template, you can plan, customize, and track the success of your workflows with ease.
19. Employee onboarding template
Best for: Organizing new hire documents and training materials.
The hiring process is a crucial element in establishing group norms , setting company culture , and optimizing internal efficiency. But it can be a time-consuming task with new team members being onboarded continuously. An employee onboarding template standardizes your processes, aligns stakeholders, and creates an inclusive community from day one. By supporting your HR team and hiring managers, you can ensure your team has everything they need for the new hire’s first day of work . Then, pair the employee onboarding template with a 30-60-90 day plan and an actionable new hire checklist to streamline the process.
20. Meeting agenda template
Best for: Teams who struggle running efficient meetings.
Most of us have experienced a meeting in our professional careers that didn’t have an agenda. Without a proper meeting agenda, team members could be stuck wondering about the objective, and ultimately, it could end up as wasted time.
With a meeting agenda template , you can keep your meetings focused and on track with clear objectives, action items, and post-meeting tasks.
21. Sprint planning template
Best for: Development and product teams that work on tight deadlines.

Gantt charts are horizontal bar charts used to illustrate a timeline of a project, program, or task. They provide a better way to track task progress, dependencies, and milestones .
A Gantt chart template can significantly decrease the amount of time spent on daily task planning. By visualizing all of your work on a timeline, you get a clear sense of what’s coming up and how long each task will take. Think of a Gantt chart as an interactive approach to time management.
23. Event planning template
Best for: Visualizing event deadlines and managing communication.
Event planning can be a stressful endeavor. You likely have dozens of deadlines and details to track at any given moment leading up to the event. This can wreak havoc on your usual time management strategy.

But first, let’s take a quick look at what time management is and why it’s important.
Table of Contents
What Is Time Management?
Time management is the process of planning and controlling the amount of time you spend on specific tasks, which is a relevant skill when it comes to increasing your efficiency and productivity. However, effective time management is more than just plugging your to-do list into apps and calendars to keep track of your schedule.
Time management is also about:
- Prioritizing your tasks to avoid wasting time on unnecessary activities
- Spending the optimal amount of time on each of your tasks–neither too little nor too much
- Maintaining discipline with how you spend your time
Knowing how to manage your time is important because it helps you control your schedule and maintain a proper balance in your life . After all, when you have great time management skills, you’ll be able to figure out everything you need to get done each day and how long the tasks will take. From there, you’ll learn how to block out the necessary time for all of your important tasks and spend less time procrastinating or trying to figure out what to do next. Time management skills can help keep you focused on essential tasks.
And, when your time is organized in a way that prevents you from rushing toward a deadline, you can be more intentional about your work and put more effort into it. As long as you keep enough time free to finish all of your projects, you will avoid submitting sloppy or low-quality work. Plus, giving yourself ample time to accomplish your tasks can help reduce stress in your life.
Let’s take a look at 11 time management activities and exercises to help you enhance this important skill.
11 Time Management Activities & Exercises for 2024
1. piece together the big picture.
An important part of time management is knowing the factors that can hinder your working efficiently. One way to do this is to try to complete an activity while purposefully incorporating an impediment to see how it affects your performance.
A fun and simple way for students to complete this exercise is by working on a jigsaw puzzle, which can boost problem solving skills, teach the value of trailing hypotheses, and teach how to adapt and change your perspective when your strategy doesn't go as planned. Research has shown that this fun activity can help students work better in teams and collaborate more effectively.
When putting a jigsaw puzzle together, it’s critical to pay attention to detail, especially if the pieces look similar. Trying to complete a jigsaw puzzle can be an effective time management exercise too.
You can do this time management activity with one student or a large group divided into small teams. Then follow these steps:
- Give your student(s) the pieces of a puzzle without showing them the image that they’re putting together. This diminishes the participants’ knowledge of the big picture or ultimate goal of the activity.
- Set a timer for 5 minutes.
- As each team works together without a plan or a known destination, you may notice that time is wasted because without having an idea of what the final image looks like, the students are unable to divide or delegate work effectively.
- When the timer goes off, explain the importance of knowing the big picture or final goal of a project before starting to work on it and having the ability to remind yourself of that end goal throughout the duration of the project.
This activity can remind students of the value of planning and delegating work, and keeping the long term goal in mind during the process to help with prioritizing smaller objectives. This is an important factor in time management, because without knowing the goal, it’s nearly impossible to know where to start– much less complete an entire project in an orderly and logical way.
2. Your Internal Clock
One noteworthy factor of time management is knowing when you’re the most productive during the day. While many are able to conform to the social 9-5 norm, there are others who are reveling in this pandemic-induced virtual world: the nightowls.
Studies have shown that one’s peak productivity time depends on the following factors:
- Brain structure and patterns of activity
- The impact of your lifestyle on your habits
- Circadian rhythm
And of course, to maximize your productivity, your sleep schedule should be adjusted accordingly .
The goal of this exercise is to help you learn when you’re the most productive so you can align your internal clock with your daily schedule so you can efficiently manage your time. Follow these steps, either individually or as a group:
- Write out your daily routine in an hourly format, from when you wake up to when you’re ready for bed
- Label each block of time according to how you typically feel (you may notate one period as being ‘high energy’ and another as ‘slowing down’)
- Take an objective look at what you’ve come up with and consider when you get the most work done, when you need to take a break, which daily tasks could be best accomplished during which periods of time?
This time management activity can help anyone determine when they’re the most productive during the day. After finishing this exercise, it will be easier to effectively create a schedule (e.g., 9/80 work schedule ) that focuses on accomplishing the most important tasks during optimal times.
3. Rocks, Pebbles, and Sand Story
Do you remember talking about the story with the rocks, pebbles, and sand ? It has come up a few times over the years here at DGH, and it is a great exercise for learning time management.
The metaphor goes like this:
- If you fill a jar with rocks, one would look at it and consider it to be “full”
- If you then add pebbles to fill in the space between the rocks, one would still consider the jar to be “full”
- If you then add sand to fill in the smaller spaces, the jar would still be “full”
The rocks represent the most significant things in your life–spending time with your family, maintaining your health, etc. The pebbles represent the things that add meaning to your life, but don’t necessarily define you. These things may come and go with time, like jobs, friends, and hobbies. Finally, the sand represents things that may fulfill you in the short term, like watching a movie or scrolling through social media, but don’t add value to your life in the long term.
The lesson to take from this exercise is that if you put sand into the jar first (i.e. you fill all of your time with immediately gratifying tasks such as watching reruns on television), you will run out of room for rocks and pebbles (more meaningful activities). So to manage your time wisely, consider how much time you’re devoting to the rocks or wasting on the sand in your life. With the right balance, you will be able to spend your time in a way that will be beneficial in the long run.
4. The Six of Clubs
This activity demonstrates the important relationship between proper time management and organization. You will need two people and two decks of cards.
- Make sure one deck of cards is in the proper order and each card is facing the same direction, while the other deck is well-shuffled with some cards facing forward and some backward.
- Give each player a deck without telling them that they have an organized or disorganized deck.
- Challenge them to find the six of clubs faster than their opponent.
The player with the organized deck will likely find this card right away. Without putting too much thought into it, he or she should be able to flip right to it. The other person, however, will need to glance at each card individually without knowing what card to expect next.
You can compare these decks with 2 schedules. One is properly structured, and the second one is poorly organized. This game can help one understand the importance of time management.
5. How Long Is a Minute?
This is a group exercise that can help participants gauge the accuracy of their perception of time. It is a fun quick activity that offers a reality check for habitual time wasters.
Pick one leader in a group to keep their eyes open while everyone else closes their eyes. The leader sets a timer for one minute and participants are instructed to raise their hand when they think one minute has passed. The leader records how far off each person’s estimate is from the one-minute mark.
The group members probably won’t all raise their hands at the same time. The lesson to be taken away from the exercise is that everyone has a different perception of time, and some activities might take you longer than you originally estimated. So are you using your time efficiently?
6. Commonalities
This activity can help team members get to know each other while also teaching communication skills . Each group member needs a pen and paper to play.
Here’s how:
- Set a timer for 5-10 minutes
- Have the team members speak among themselves to try to find as many things possible that they have in common with each other
- Each player should write down the person’s name that they connect with and the commonality that they hold
- The player with the longest list wins
When the game is over, ask the winner what their strategy was to make the most connections during the allotted time. Their strategies can help relay the importance of efficient and effective communication, which is a big component of time management.
7. Delegation
For this time management activity, players should get into groups of three and determine who is going to be the delegator, the employee, and the observer. The delegator’s job is to think of a task that they don’t enjoy and explain how to do it to the employee. The observer’s job is to write down how well the delegator explained the task. Finally, the employee’s job is to explain the task back after it is explained to them.
Each player should rotate their position so everyone has a chance to play every role. This activity can help people with their time management skills because it can help them practice delegating tasks that may take up a lot of their time.
8. Where Did the Time Go?
All you need for this activity is a pen and paper or a note app on your phone. You can go through the steps on your own and then discuss your results with others who are also aiming to improve their time management skills.
Instructions:
- Think about what you did yesterday.
- Write down 5 things that you did that helped you progress toward some type of goal.
- Write down one thing that either distracted you or wasted your time.
- Write down at least one thing that you wanted to get accomplished but didn’t.
- Discuss what you’ve written with your peers.
When you think about your 5 accomplishments, you will be able to see the value in the time you spent on each of those tasks. This was all time well spent because you used it to leverage your success in some way. If you don’t take the time to acknowledge your everyday wins (even when they’re small ), you may lose momentum or motivation to keep working as hard as you do.
Additionally, recognizing something that was a distraction or “time waster” can help you be more attentive to how you’re spending your time every day . And, once you pair this with something that you wanted to get accomplished but didn’t, it highlights the opportunity cost that the distraction caused you to forego.
You may be surprised at all of the things you’re accomplishing in one day–or you may recognize that you’re wasting too much time on meaningless tasks. Either way, this can help your ability to manage your time in the future.
9. Routine Grid
This group exercise can help you gain a visual perspective of your everyday routine. Each participant should start with 3 blank pieces of paper with 4 rows of 6 squares, making 24 squares on each sheet.
The Activity:
- Each square represents one hour, so with 3 sheets with 24 squares on each, you will start with 3 empty days.
- Instruct the participants to fill in the squares on the first page with their everyday activities in a color-coded order. For example, mark off 7 squares with a blue marker to represent 7 hours of sleep, 3 squares can be marked in red to block that time for meals, 1 square could be green to represent your daily workout, etc.
- On the second page, concentrate on the time you spend at work not working (whether that’s sitting in an office, driving around seeing clients, meeting with patients, etc.). Take daily meetings or conference calls into account, coffee breaks you take to socialize with coworkers, or time you may sneak in scrolling through social media at your desk.
- On the third page, summarize the information from the two pages you have filled in. Any squares that are blank represent your potentially productive time.
Completing this exercise will give you a visual summary of your day, which can help you organize your time more efficiently. Are there any squares that can be moved around to give you larger gaps of productive time to get into a deep work mode?
10. Group Problem Solving
The goal of this exercise is to work as a group to come up with ways to fight against some common time wasters that are impacting everyone’s productivity. Before starting the game, agree upon three things that are either common distractions in your workplace or processes that are inefficient that could be improved. Get five envelopes and put five blank pieces of paper in each. Write one time waster on the outside of each envelope.
- Split the group into three teams, giving each team one of the envelopes.
- Instruct each group to come up with (and write down) one idea of how to eliminate or streamline their assigned time waster. Set a timer for 4 minutes to encourage a quick brainstorming session where people are just throwing ideas out there.
- When 4 minutes is up, have the teams pass their envelope to the next group.
- After 5 rounds, each blank piece of paper should have a time-saving idea recorded on it.
- Have a discussion with the entire team about the ideas that people came up with and which ones may be feasible to help people manage their time better.
Not only can this exercise help you address various time-wasting factors that people are facing in the workplace, it can also help initiate some dialogue about what strategies could be put into place to work more efficiently.
11. It’s a String Thing
You can do this activity to recognize how much time you can potentially free up to use in more effective ways. You just need 79 inches of string and scissors. The 79 inches represent the average lifespan of 78.99 years of Americans in 2021.
- Start by cutting off your current age, so if you’re 20, cut off 20 inches.
- With the remaining 59 inches, cut off the average amount of time you spend sleeping, driving, eating, taking vacation, etc. You’ll also want to factor holidays and weekends into this.
- Compare the amount of string you have left to what you started with.
The remaining string represents the time you potentially have left in your life to make a difference in achieving your long term goals and building a legacy that you’re proud of. Life in the future may seem so infinite, but this exercise will show you how limited it actually is and may help you value the time you have more.

What Is Time Management?
Working smarter to enhance productivity.
By the Mind Tools Content Team
Do you ever feel like there's not enough time in the day?
We all get the same 24 hours – so why do some people seem to achieve more with their time than others? The answer: good time management.
Time management is the process of organizing and planning how to divide your time between different activities. Get it right, and you'll end up working smarter, not harder, to get more done in less time – even when time is tight and pressures are high.
The highest achievers manage their time exceptionally well. And by using Mind Tools' time-management resources, you too can make the most of your time – starting right now!
Time Management and Productivity
When you know how to manage your time effectively, you can unlock many benefits. These include:
- Greater productivity and efficiency.
- Less stress.
- A better professional reputation.
- Increased chances of advancement.
- More opportunities to achieve your life and career goals.
Overall, you start feeling more in control, with the confidence to choose how best to use your time.
And by feeling happier, more relaxed, and better able to think, you're in a great place to help others reach their targets, too.
How to Improve Your Time Management Skills
Start by assessing your existing approach. How good are you at organizing your time so that you get the important things done well? Can you balance your time between different activities? And when you do make time to do something, are you able to focus – and get it finished?
Our quiz, How Good Is Your Time Management , will show you what you're getting right, as well as highlight where – and how – you can improve.
Good time management takes a shift in focus from activities to results . Being busy isn't the same as being effective. In fact, for many people, the busier they are, the less they actually achieve.
General Time-Management Tools

Eisenhower's Urgent/Important Principle is a way to distinguish between demands, so that you prioritize them wisely.
The Action Priority Matrix includes a downloadable worksheet for exploring how much time to give to different activities (if you should be doing them at all!).
And our article, Managing Conflicting Priorities , explains what to do if priorities clash.
You may know what you need to do – but when should you do it? Timing is everything.
It pays to get tough tasks done while you’re still feeling fresh, for example, as we explain in Is This a "Morning" Task?
And you can boost your efficiency, gain people’s trust, and use adrenaline to your advantage, by reading How to Meet a Deadline .
Goal Setting
The most successful "time managers" have clear targets to aim for. They develop SMART Goals , allowing them to allocate their time effectively.
Treasure Mapping is a powerful way to see your goals clearly – so that you're motivated to give them the time they need. Personal Mission Statements are also helpful for being organized and staying committed to your plans.
Concentration and Focus
It's no good just making the time to pursue your priorities. You have to use that time well, too. We have a collection of resources devoted to doing just that, including advice on minimizing distractions , and getting into a focused state of " flow ."
There's also detailed guidance on using your time well when you're working from home , and when you're doing your job on the move .

Even with the best intentions, and plenty of powerful tactics, it's all too easy to fall back into bad time-management habits. So Mind Tools offers a number of resources that will help you to stay on track.
How to Stop Procrastinating , for example, explains why it's so tempting to put things off – and how to stop doing it.
9 Ways to Use Your Dead Time Wisely makes sure that you don't waste a moment.
And in Self-Discipline we explore the core skills you'll need to embed long-lasting time-management techniques.
Quick Tips for Time Management
The resources mentioned above cover a wide range of tried and true time management strategies. But if you need a few quick pointers, here's a list of 10 practical time management tips:
- Prioritize Your Tasks: Differentiate between what's important and urgent, versus what's not. Focus on tasks that are both important and urgent first.
- Use Tools and Apps: Utilize productivity tools and apps to help manage your tasks, schedule your day, set reminders, etc.
- Set SMART Goals: Set goals that are Specific, Measurable, Achievable, Relevant, and Time-bound. This provides clear direction and makes tasks more manageable.
- Time Blocking: Dedicate specific blocks of time to different tasks or types of work throughout your day. This can help reduce context switching and improve focus.
- Delegate When Possible: If there are tasks that can be done by someone else, delegate them. This allows you to focus on the tasks that require your specific skillset.
- Avoid Multitasking: Multitasking often leads to mistakes and decreased productivity. Instead, focus on one task at a time until it's completed.
- Create a Structured Daily Routine: Having a set routine can help ensure that you're making the most of your day and not wasting time deciding what to do next.
- Minimize Interruptions: Try to create an environment where you're not constantly being interrupted. This might involve setting office hours, using "do not disturb" mode on your phone, or setting boundaries with colleagues.
- Take Care of Your Health: Remember to get regular exercise, eat healthily, and get plenty of sleep. These factors can have a significant impact on your energy levels and overall productivity.
- Regularly Review and Reflect on Your Work: Take time at the end of each week to review what you've accomplished and identify any challenges you faced. This can help you continually improve your productivity strategies and make necessary adjustments for the upcoming week. This process of self-reflection can help you identify time sinks, and efficiency gaps, or prioritize tasks better for future planning.
Remember, different strategies work for different people. It can be helpful to experiment with different approaches to see what works best for you.

Not only can it help you plan your activities, but it can also help you set appropriate priorities for each action item on your list. By looking at each task’s associated deadline, importance, and resources available, you can rest assured that nothing falls through the cracks.
Furthermore, having an easily visible outline makes it easier to focus on tackling tasks calendar week by week without allowing anything to slip too far past due. On top of this, planning with a time management worksheet prevents you from ever overcommitting or neglecting one area of your life for another leading to a more balanced approach. In short, using a worksheet for managing time will increase productivity in both short and long-term success.
Tips for Using Your Time Management Worksheet Effectively
Using a time management worksheet can be an invaluable way to ensure that you are being productive and using your time wisely. To get the most out of this tool, be sure to set realistic goals. Don’t try to overfill each day. Instead, focus on an achievable number of tasks that you can realistically complete.
Additionally, mark down any deadlines or important dates in the calendar section so you don’t forget about them. Once the creation is complete, review your worksheet twice a day to assess how close you are to meeting your goals and whether adjustments need to be made. Following these tips will help ensure that you maximize the time you have available and ensure successful project completion.
How to Prioritize Your Tasks and Activities
Keeping on top of your tasks and activities can often be daunting, but prioritizing is key to managing your time efficiently. To begin with, it’s important to make a list of the commitments you need to accomplish. Once that is done, sort them into categories such as urgent/important, not-urgent/important, and low-priority tasks. Then look at each task one by one and decide which should be begun first based on its relative importance.
A great way to ensure you don’t let smaller tasks fall through the cracks is to pair up more significant activities with lower-priority ones. Lastly, set specific deadlines to stay on track and motivated. Following these steps will help you prioritize better so that you can remain organized and productive.
Tracking Your Progress and Adjusting Your Worksheet as Needed
Keeping tabs on your progress and adjusting a worksheet accordingly is key to achieving any goal. The worksheets help you stay organized and help monitor where you’re at in terms of accomplishing what you set out to do, tracking your progress helps you make the necessary tweaks and adjustments needed to achieve the desired result.
If something isn’t going according to plan, don’t be afraid to re-evaluate and make changes that ensure success. Utilizing a worksheet keeps goals tangible as there is a direct visual representation of your actions, and this way, it’s easier for you to identify areas that may require an adjustment. Keeping track of such progress puts one on the path toward success.
How to Create Your Time Management Worksheet Template
A time management worksheet is an invaluable tool that can help you organize your day, week, and month in a way that maximizes your productivity. With a well-designed template, you can easily stay on top of tasks and deadlines while still leaving room for rest. Here are some steps for creating your time management worksheet template.
Gathering Your Data
The first step in creating your time management worksheet template is gathering the necessary data. This includes information about any meetings or appointments, daily tasks, and long-term projects or goals. You should also consider the amount of time needed for each task and the frequency with which these tasks must be completed (daily, weekly, monthly). Once you have all this information together, you’re ready to start designing your template.
Designing Your Template
When it comes to designing your template, there are several factors to consider. First, decide if you want to use a spreadsheet format or a chart format for organizing your data. Spreadsheets are great for tracking specific tasks or goals over time while charts are useful for quickly visualizing how much time is allocated to each task or goal per day/week/month. You should also determine what type of data will be included in your template (i.e., due dates, and priority levels). Once you have decided on these basic design elements, you can move on to creating the actual template itself.
Creating Your Template
Now that you have gathered all the necessary data and determined the basic design elements of your template, it’s time to get down to business and create it. Depending on whether you chose a spreadsheet format or chart format for organizing your data, there are many software programs available (such as Microsoft Excel) that can help make this process easier. You may also want to consider using online tools such as Trello or Asana for managing complex projects that require collaboration with multiple people. Finally, don’t forget to add some personal touches such as color coding or icons, these small details can make all the difference when it comes to staying organized.

Time Management Worksheets
According to a 2014 Massachusetts Institute of Technology study, 90% of the information transmitted to the brain is visual and human brains process visuals 60,000 times faster than they do text. This is where visual time management worksheets come in handy.
Time management strategies are the unlikely hero. They help you spend your time wisely and efficiently. Using these strategies in conjunction with data visualization help you make sense of your work. Here are five different worksheets to help you take your work to the next level.
Weekly Time Management Worksheet
Use this worksheet to help you visualize your week. Fill in your recurring meeting, preparation and travel time, regular appointments, lunches and dinner breaks, and rest. You can even schedule your set bedtime and morning call.
Google Calendar is a great time management and scheduling tool. For individuals who like to see their week in-advance, using Google Calendar allows you to make appointments, share meetings with others, and organize your daily tasks.
Time Pie Chart Worksheet
If you're a visual learner, consider using a Time Pie Chart Worksheet to help you understand how your time is being allocated.
Like money, time is not infinite. Treat your time like money and create a time budget that details how you spend your hours during a typical week. Categorize time into fixed time (must do’s) and discretionary time (want to do’s).
The Rule-of-3 Worksheet
The Rule of 3 is a productivity principle that encourages us to focus on achieving just three meaningful outcomes every day, week, month, and year. The Rule of 3 helps you focus on outcomes over activities.
Peak Performance Tracker Worksheet
Find your peak performance time by breaking your typical work day into six time slots. Over the course of a week, rank-order these slots from your most to least productive. Your time slots don't have to adhere to the three-hour blocks of time as this worksheet. It's perfectly OK have your peak performance time from 10:00 a.m. to 2:00 p.m.
After you find your peak performance time, you can leverage this knowledge to increase your output by prioritizing the tasks you need to complete in a reasonable timeframe.
The Urgency Determinator Worksheet
Are your tasks urgent? Are your tasks going to take a long time? Knowing the answer to these questions will help you plan out your day.
Urgency and importance are related but distinct concepts. Urgent tasks require immediate action, whereas as important tasks have more significant and long-term consequences. You can prioritize your tasks that are both urgent and under deadline. This will help you get ahead if the curve if you feel like you are constantly putting out fires at work.
What To Do After
The most important part of these worksheets is what you do after you fill them out. It's important to analyze your situation using objective evidence. Have you found “hidden time” you didn’t know you had? If your schedule can't accommodate all the demands on your time, what do you need to cut down on?

Key Elements of Effective Coaching Worksheets
To effectively manage time, coaching worksheets can provide a structured framework that supports individuals in achieving their goals. Here are three key elements that make coaching worksheets for time management effective: goal setting and prioritization , time tracking and analysis , and action planning and accountability .
Goal Setting and Prioritization
Goal setting is a fundamental aspect of effective time management. Coaching worksheets that focus on goal setting help individuals clarify their objectives and prioritize tasks accordingly. These worksheets provide a structured framework for defining SMART goals (Specific, Measurable, Achievable, Relevant, and Time-bound) that align with one’s values and aspirations.
By breaking down larger goals into smaller, actionable steps, individuals can create a roadmap for their time management journey. Prioritization worksheets help individuals identify tasks that are urgent, important, or non-essential, allowing them to allocate their time and energy accordingly. This enables individuals to focus on high-priority tasks that align with their goals, resulting in greater productivity and a sense of accomplishment.
Time Tracking and Analysis
Understanding how time is spent is crucial for effective time management. Time tracking worksheets help individuals monitor how they allocate their time throughout the day. By recording activities and the time spent on each task, individuals can gain insights into their time usage patterns and identify areas for improvement.
Analyzing the data collected through time tracking worksheets allows individuals to identify time-wasting activities and areas of inefficiency. This awareness enables individuals to make informed decisions about how to optimize their time and make necessary adjustments to their routines and habits. By eliminating or minimizing time-wasting activities, individuals can create more productive and fulfilling schedules.
Action Planning and Accountability
Action planning worksheets provide a structured framework for individuals to outline the specific steps they need to take to achieve their goals. These worksheets help break down goals into manageable tasks and set deadlines for completion. By creating a detailed action plan, individuals gain clarity on the actions required to move closer to their desired outcomes.
Accountability worksheets play a crucial role in maintaining motivation and commitment to time management goals. These worksheets provide a space for individuals to reflect on their progress, assess challenges, and identify strategies to overcome obstacles. Exploring Different Coaching Worksheets for Time Management
To effectively manage time, utilizing coaching worksheets can be incredibly helpful. These worksheets provide structure and guidance, assisting individuals in organizing their tasks and optimizing their productivity. Let’s explore three types of coaching worksheets commonly used for time management: daily planner worksheets , weekly and monthly planner worksheets , and time blocking worksheets .
Daily Planner Worksheets
Daily planner worksheets are designed to help individuals plan their day in detail. These worksheets typically include sections for prioritizing tasks, allocating time slots for specific activities, and noting important deadlines or appointments. By using a daily planner worksheet, individuals can visualize their schedule and ensure that each task is given the necessary attention.
Weekly and Monthly Planner Worksheets
Weekly and monthly planner worksheets provide a broader overview of an individual’s schedule. These worksheets allow for better long-term planning and help individuals track their progress towards larger goals. With sections dedicated to each day of the week or month, individuals can allocate time for recurring tasks, project deadlines, and personal commitments.
Time Blocking Worksheets
Time blocking worksheets are a popular tool for managing time effectively. With time blocking, individuals allocate specific time blocks for different activities or tasks. This technique helps individuals focus on one task at a time, avoid multitasking, and work efficiently. Time blocking worksheets typically include time slots divided into intervals, allowing individuals to allocate time for work, breaks, personal activities, and self-care.
By exploring these different coaching worksheets, individuals can find the one that best suits their time management needs. It’s important to remember that everyone’s preferences and routines may differ, so finding the right worksheet that aligns with individual goals and lifestyles is crucial. This customization allows individuals to create a personalized approach to time management that aligns with their unique circumstances and objectives.
Tailoring Worksheets to Individual Needs
One of the remarkable features of coaching worksheets is their flexibility, allowing users to tailor them to their specific needs. Different individuals have different preferences and styles when it comes to managing their time. Therefore, it’s important for coaching worksheets to be adaptable.
When customizing time management worksheets , consider the following factors:
- Work and Personal Commitments : Take into account the specific responsibilities and commitments in your life, such as work, family, or personal projects. Tailor the worksheets to accommodate the various aspects of your life and help you allocate time accordingly.
- Learning Style : Everyone has a unique learning style that affects their ability to absorb and process information. Customize the worksheets to align with your preferred learning style, whether it’s visual, auditory, or kinesthetic. This will enhance your engagement and understanding of the content.
- Time Constraints : Recognize the time constraints you face and adjust the worksheets accordingly. If you have limited time to dedicate to time management activities, focus on the most essential exercises and prioritize accordingly.
- Personal Preferences : Consider your personal preferences and what motivates you. Some individuals thrive on structure and detailed planning, while others prefer a more flexible and intuitive approach. Customize the worksheets to match your preferences and optimize your time management efforts.
Adapting Worksheets for Different Goals and Lifestyles
Time management goals and lifestyles can vary widely among individuals. Coaching worksheets offer the flexibility to adapt to these different goals and lifestyles, ensuring that they remain relevant and effective.
Consider the following when adapting time management worksheets:
- Specific Goals : Identify your specific time management goals. Whether it’s improving productivity, maintaining work-life balance, or reducing stress, customize the worksheets to reflect these objectives. This will help you focus on the areas that require the most attention.
- Lifestyle Factors : Take into account your lifestyle factors, such as your work schedule, personal commitments, and energy levels throughout the day. Adapt the worksheets to accommodate these factors and create a time management plan that aligns with your lifestyle.
- Preferred Tools and Techniques : Each individual has their preferred tools and techniques for managing time. Whether it’s using digital calendars, task management apps, or traditional pen and paper methods, incorporate these tools and techniques into the worksheets. This will ensure that the worksheets are aligned with your preferred approach to time management.
- Long-Term Sustainability : Time management is not just about short-term fixes; it’s about developing sustainable habits. Adapt the worksheets to promote long-term sustainability by incorporating activities that foster self-reflection, accountability, and continuous improvement.
By tailoring coaching worksheets to individual needs and adapting them for different goals and lifestyles, individuals can optimize their time management efforts. Remember, coaching worksheets are a flexible resource that can be modified as circumstances change and new goals emerge. Explore various resources and templates, such as those available on coaching worksheets , to find the ones that best suit your needs.
Tips for Maximizing the Potential of Coaching Worksheets
To make the most of coaching worksheets for time management, it is important to follow some key tips and strategies. Here are three essential tips to help you maximize the potential of these worksheets:
Consistency and Commitment
Consistency and commitment are vital when using coaching worksheets for time management. Make it a habit to consistently fill out the worksheets and track your progress. Set aside dedicated time each day or week to review and update your worksheets. By committing to this practice, you will develop a stronger sense of accountability and stay focused on your time management goals.
To stay consistent, consider setting reminders or incorporating the use of a planner or digital tool that can help you stay organized. By consistently utilizing coaching worksheets, you will gain a clearer understanding of how you spend your time and be better equipped to make necessary adjustments to improve your time management skills.
Regular Review and Reflection
Regularly reviewing and reflecting on your coaching worksheets is crucial for effective time management. Take time to analyze the data and insights provided by the worksheets. Identify patterns, trends, and areas where you can make improvements.
Use the worksheets as a tool for self-reflection, asking yourself questions like:
- Are there any recurring time-wasting activities that I should address?
- Are there any tasks or activities that can be delegated or eliminated?
- Am I effectively prioritizing my tasks and goals?
By engaging in regular review and reflection, you can identify areas for growth and make informed decisions on how to optimize your time management strategies. Consider using coaching worksheets for self-reflection to enhance this process.
Seeking Professional Guidance and Support
While coaching worksheets can be valuable tools for self-improvement, seeking professional guidance and support can further enhance your time management skills. Consider working with a coach, psychologist, or therapist who specializes in time management. They can provide personalized guidance, help you set realistic goals, and offer strategies tailored to your specific needs.
Coaches and therapists can also provide additional coaching resources and tools such as coaching exercises , coaching tools , and coaching templates to complement your use of coaching worksheets. Their expertise and support can greatly assist you in overcoming challenges and achieving your time management goals.
By incorporating these tips into your practice, you can effectively leverage coaching worksheets for time management and unlock your full potential. Consistency, regular review, and seeking professional guidance will help you stay focused, make informed decisions, and continuously improve your time management skills. Remember, efficient time management is a journey, and with the right strategies and tools, you can make significant progress towards optimizing your time and achieving your goals.

What is Time Management?
Time management is the ability to structure, organize and control our time based on our goals, allowing for flexibility to adapt to the changes in our environment while still protecting our priorities.
Time management is not just about the efficient allocation of work or study time. It also needs to cater to time for fun.
Benefits of Time Management for Students
Research suggests that times management has a positive effect on:
- Academic achievement
- Well-being, particularly life satisfaction
- Job performance
The meta-analysis mentioned above also found that people with strong time management skills avoid multitasking, as it leads to worse performance.
If we take a look at the specific benefits for students , learning time management skills has been associated with:
- Lower level of anxiety
- Development of good study habits
- Higher grade average
All these benefits highlight the importance of time management for our kids.
Best Time Management Tips for Kids / Students
The tips listed below are very helpful advice to help your young people learn organizational skills and get into the habit of time management.
You will be able to download a free PDF including all these tips at the end of the post.
1. Think about your goals and what you would like to achieve
Goal-setting is a building block of time management.
Working towards our goals will keep your motivation levels high, which in turn leads to better focus (Dupeyrat & Mariné, 2005.)
According to a research study conducted with undergraduate engineering students, their ability to set goals and prioritize activities had a most significant positive correlation with their grade point average.

2. Be aware of how much time you have
Time tracking can be an interesting time management activity for your child or student.
Kids tend to have very busy schedules, so this activity may help them realize there is less available time than they may have assumed:
- Use a planner to create blocks of activities. Tip: You may use the Free Daily Planner PDF available for download at the end of this post
3. Use To-Do Lists
To-do lists are a simple yet effective time management tool. Write down the list of tasks and activities you wish to complete.
4. Establish Priorities
Having a to-do list is just the first step. Understanding which are the important tasks is essential.
- Go first for your important “must-do” tasks
- Urgent: Tasks that require immediate action,
- Important: Important things, valuable tasks or activities
5. Fun is important too, so make sure to include time for fun in your to-do lists.
6. Plan your weekly and daily tasks
Create a daily schedule (and follow it!)
Short-term planning is flexible and seems to work better (but don’t forget we still work towards longer-term goals):
- Britton and Tesser (1991) identified a positive relationship between what they call short-range planning and grade point average. They hypothesize that, although long-term planning may be more important, in some environments with changing expectations, like college, a short-term window may be optimal.
- Short-term planning may be a great tool for students who tend to procrastinate.
7. Keep track of due dates for your big projects (you can’t catch up with those in the hours just before the deadline)
8. Consider breaking those big projects into smaller tasks /subgoals
9. Understand how long it takes to complete tasks.
Can I complete it in one session, or do I need to break this task into smaller chunks?
Research tells us it is extremely difficult to estimate a task’s duration. Individuals tend to underestimate or overestimate how long it takes to complete a task
10. Create buffers
This tip feels like a logical consequence to the previous tip. If our best efforts to estimate task duration stand some chance of failing, let’s make sure that we create buffers of unallocated time so that we can catch up on the tasks we couldn’t finish
- For example, the end of the week is a great time to catch up on what you couldn’t finish during the week.
11. Don’t try to multitask
Don’t try to do too many things at once.
Research shows that doing several things at the same time leads to worse performance, so focus on one thing at a time.
12. Block in time for important tasks
13. Avoid distractions / Identify time wasters
Our environment is full of distractions that will derail our focus. If your kid is studying with Minecraft opened in the background, how long is it going to take before they go for “just a tiny 5-minute break” than ends up being a not-so-tiny 45-minute break?
Ask your child to clean up their workstation from anything that may distract them.
14. Don’t over commit
Is your kid saying yes to too many activities?
Committing to too many activities may make focusing on important tasks and projects more difficult.
15. Allocate and plan breaks.
Everybody feels tired and less productive after intense focus on work. Remember to allocate and plan brain break activities .
16. Consider the tasks’ sequence What works better for your kid, first a difficult task or an easy one, to feel they have already accomplished something?
17. Set deadlines for task completion . Establish a time limit for your tasks. This is an important tip for perfectionist kids who may decide to spend extra time until they meet their perfection standards.
18. Consider how idle time is used . Identify idle time and decide how to use it productively. It may be great for small tasks. And, also for fun! We just need to be intentional about it.
19. Track activity and log how you use your time.
20. Log daily activities . Logging day activities can have multiple benefits:
- It helps you understand how you use time
- Accomplishments
- Time wasters
- What worked and what didn’t work
- It helps you feel in control
21. Celebrate your victories. If looking into a big list of different tasks feels overwhelming, start a “done” list too!
22. Assess when you are more productive.
Is your energy level at its best right after school or after a “me-time” break?
Popular Time Management Techniques
Some very popular time management techniques capture many of the principles listed above. We will review some of them in this section
The Pomodoro Technique
The Pomodoro Technique was developed in the 80’s by an Italian student, Francesco Cirillo , who kept getting distracted and struggled with focus.
It all started as a self-challenge. Can I focus for 2 minutes? 3 minutes? And as he kept winning an increasingly extended bet over time he established that his ideal unit of work was 25 minutes followed by a short period of rest (2-5 minute break)
So, where does this name come from?
Francesco Cirillo used a tomato-shaped kitchen timer to time his focus challenge. And tomato in Italian is translated as pomodoro (I’m sure you had come across this one in your pizza menu)
Time Blocking
Time blocking (or time chunking) is a time management strategy that allows you to focus your full attention on one single task for a specific time.
You divide your calendar into hourly blocks. Then you assign single tasks or a group of similar tasks to those blocks. Let’s read a couple of examples:
- You block 30 minutes to review all homework and papers you need to finalize during the week, and move them to your planner (instead of moving tasks to your planner each time you start working on a different paper)
- You block 2 hours for your science research paper, and you make sure you don’t get distracted with any other to-do’s from your list.
Eat That Frog
Mark Twain has often been credited for the quote: “If it’s your job to eat a frog, it’s best to do it first thing in the morning.”
But Brian Tracy made it even more popular when he captured this concept in his best-seller “Eat That Frog”
Eat That Frog simply means “do your more difficult (or dreaded) task first because the rest of your day will look a lot easier afterward.” You will also avoid procrastination, that productivity buster that often shows when we are facing specific tasks that we dislike.
The 80/20 rule
The concept behind the Pareto principle, also known as the 80 / 20 rule, is that 20% of the efforts we make lead to 80% of the results.
This is a powerful concept that can help your student prioritize their effort.
When you don’t have a lot of time left, stop for a few seconds and assess the key tasks you need to complete that will deliver most of the result.
Great Time Management Activities for Students of All Ages
Good news! Learning time management skills can be fun.
In this section, I will suggest time management games and activities for kids of all ages.
Mapping Circadian Rhythm
Have the teens in your group write out every single hour of the day that they are awake. Then, next to the space, have them write down a scale of how they feel throughout that day.
Try to have the group stick to 5-6 feelings throughout the day. Something like:
- ready to go!
Once it is filled out, here are a few discussion points:
- How can we use our map to plan out our day?
- When should we plan to accomplish our daily responsibilities?
- When should you take a break?
- Are you trying to accomplish tasks when your body is in need of some time out or in low energy?
- Based on your map, what are the best ways to have a productive day?
Begin this activity by having everyone in the group write down a few short-term goals that they have. These goals can be anything from ‘making it to the last level of my video game’ to ‘earning a 4.0 this semester.
Next, have them write down 10-15 things that they did the day before. Some items on the list might be:
- cooked dinner for my siblings
- attended soccer practice
- played video games for 2 hours
Finally, have them look at their goals and compare how their previous day’s actions were matched (or not matched) to their goals
One note: the point of this activity is not to shame anyone with their daily activities. Instead, it’s a way to look at their time management and if their daily actions are bringing them closer to their goal or not.
Ribbon Challenge
Give your teens some ribbon and have them measure it out to equal 100 cm (1 m).
Each centimeter represents a year of someone’s life with the purpose being to help kids see how valuable their time is.
Begin by having everyone cut off the number of years that they have already lived.
Next, start cutting off the average amount of years that people do basic tasks. A few ideas are:
- years a person spends sleeping (26 years, according to this article )
- years a person works (15)
- years a person is eating (7)
As they remove ribbons from the originally long string, the kids will start to see the limited time they actually have. This is why time management is so important, and will help them learn the value of their daily actions.
Squares of Time
Give each teen 3 pieces of paper with 24 squares on the page. Each square will represent an hour that goes into the day.
Give them some time to think about what their basic daily routine looks like.
On the first page, participants fill out (shade or color one-hour squares) with routine activities of their day. This can look like ‘take a shower, eat breakfast, walk to school’.
The second page is for the non-productive time they use. This can look like sleeping an extra few hours, playing video games all night, or scrolling social media.
On the third, they add everything from the other two onto it. The empty space left is productive time. With this third piece of paper, your kids can then see what activities they can reduce or eliminate to increase their productive time.
Distract No More
Give a group of kids a card with something that wastes time or is a distraction for managing their time. This can look like:
- Scrolling TouTube
- Watching tv
- Taking long baths
Once everyone has their card, each team has 3 minutes to come up with ways to prevent getting distracted. The more ways they come up with, the more they can stop wasting time and become master time managers.
For younger kids:
In a group of students, have everyone close their eyes at the same time. Then, have them raise their hands when they think a certain time period is up.
With this activity, start with 5 seconds, then 15, 30, and work your way up to a full minute.
The point of this activity is to show that everyone views time differently. Some may think a minute is over quickly, while others think it is long. Despite what they think, everyone has the same minute in the day.
For older kids:
Choose tasks that your students usually complete in the classroom. For example, how long does it take to find some information online (choose a relevant topic) and write a three-line summary?
This is slightly different from the younger kids’ activity. Here, the student will understand that it is difficult to estimate how long a task is going to take. Some students will be happy with what they find in the first two minutes, and some others will continue browsing until you ask them to stop.
Card Conundrum
This game is a fun way to get teens invested in time management and how organization plays into it.
Organize two decks of cards. Give two volunteers each a deck of cards. At the same time, have each teen volunteer flip through the deck one card at a time until they find the Ace of Spades.
Here’s the trick- one deck has been shuffled while the other is still in order.
Usually, the teen with the mixed-up deck will complain about how unfair it is, even though it was never confirmed that both decks are shuffled.
This activity is an effective way to demonstrate the important role that good organizational skills play in real life. An organized person will be able to sit, find their work and complete it with less effort than the unorganized student.
Overcooked is a popular game that can serve as a time management activity for kids. This online game is can help instill the value of time management in a fun way. Using the career as a restaurant manager, each player has to serve, cook, and run a restaurant efficiently.
The Jar of Life
Shown in the video below , the jar of life is an excellent activity to show kids how to properly prioritize their time.
All you need is a few materials found around your home:
- See thru jar
- Larger rocks about the size of golf balls
- Medium-sized rocks that can fit in the jar around the larger rocks
- Small pebbles the size that you would put on the bottom of a fish tank
Each rock size represents different elements of your life and the time that you use to fill every minute of the day. That visual reminder will help kids see the value in filling their day appropriately.

Time Management Worksheet
The Time Management Worksheet helps students consider how they will allocate their time for a particular semester/trimester/quarter. Students should estimate hours spent in a 7-day week across the following four categories:
The Time Management Worksheet works best when students know the homework load expectations for all of their classes. If this information is not already available to students, we recommend asking every department to complete the worksheet titled “Maximum Homework Estimates” (page 3 of this document). On it, departments can list all classes offered along with the maximum amount of nightly homework students can expect. Page 4 offers an example.
Extracurriculars
This section allows students to capture the structured activities they do outside of school such as sports, theatre, debate, paid work, community service, religious school, outside tutoring, etc. Students should not feel obligated to add an activity to every available line.
Unstructured Time
This section offers a place to list daily activities such as eating, grooming, and chores, as well as time spent outside of school in the following three categories: Playtime, Downtime, and Family Time.
According to experts, to lead healthy, balanced lives, high school students need 8-10 hours of sleep per night, and middle school students need 9-11 hours. We have pre-populated this worksheet with 9 hours per night. If a student’s schedule does not allow for the recommended amount of sleep on most nights, students should consider adjusting their daily or weekly commitments to prioritize sleep.
