How to create a custom keyboard shortcut in Word
You can create, modify, or remove existing keyboard shortcuts in Microsoft Word, and here's how in Office from Microsoft 365 or Office 2019.
Microsoft Word allows you to create custom keyboard shortcuts to quickly use a combination of keys to execute a command or macro, apply a style, and insert a symbol without the need of extra steps utilizing a mouse.
In addition to creating new shortcuts, whether you use the version of Office from Microsoft 365 or Office 2019 , Microsoft Word also lets you modify existing shortcuts or remove those you do not want.
In this Windows 10 guide, we will walk you through the steps of creating a custom keyboard shortcut for your most frequent Word commands. In addition, we will also outline the steps of removing a specific shortcut and resetting all custom settings to their defaults.

- How to reset custom keyboard shortcut settings in Word
To assign a custom keyboard shortcut to a command or item in Word, use these steps:
- Open Microsoft Word .
- Click on Options from the bottom-left corner. Quick note: If you have a blank document open, click the File menu to access the Options button. Alternatively, you can also right-click anywhere in the Ribbon and select the Customize the Ribbon option to access the settings.
- Click on Customize Ribbon .
- Under the "Customize the Ribbon and keyboard shortcuts" section, click the Customize button for "Keyboard shortcuts."
- In the Categories section, select the category that contains the command, macro, or style you want to customize.
- In the Command section, select the item to which you want to add a custom keyboard shortcut. Quick note: If the command has a shortcut already assigned, it will be listed under the "Current keys" section. You can always add more shortcuts for the same command or remove shortcuts as needed (see steps below).
- In the Press new shortcut key box, confirm the keyboard shortcut you want to use. Quick tip: You can use a number of key combinations. For example, you can use a function key, such as F3 and F4 , Alt and/or Ctrl + other keys like Alt + Ctrl + F7 . If the shortcut is already in use, you can still use it, but the keyboard shortcut will no longer be available for the other item.
- In the "Save changes in" option, select the Normal.dotm option to make the keyboard available for all documents.
- Click the Assign button.
- Click the Close button.
Once you complete the steps, you can now start using the keyboard shortcut to quickly run command, macro, style, font, or symbol.
While the ability to customize shortcuts is available in older versions, you should consider upgrading to Office from Microsoft 365. The subscription-based service offers a free upgrade and other benefits, such as sharing the apps with up to six family members and friends, and you get access to services like Microsoft Teams, Family Safety, Microsoft Editor, and 1TB of OneDrive storage.
Microsoft 365 gives you full access to all the Office apps and benefits like 1TB OneDrive storage and Skype minutes. You can also install Word, Excel, PowerPoint, Outlook, and other apps on up to five devices, and depending on the subscription, you can share the account with up to six people.
To remove a keyboard shortcut in Word, use these steps:
- Click on Options from the bottom-left corner.
- In the Categories section, select the category that contains the command you want to customize.
- In the Command section, select the item from which you want to remove a custom keyboard shortcut.
- Under the "Current keys" section, select the shortcut you want to remove.
- Click the Remove button.
After you complete the steps, the shortcut will no longer be available in Microsoft Word.
How to reset custom keyboard shortcut settings in Word
To reset all the shortcut settings in Word, use these steps:
- Click the Reset All button.
- Click the Yes button.
Once you complete the steps, the keyboard settings will reset to their original configuration.

Word 2007 – Assigning Keyboard Shortcuts
Since we spend most of our time in Word working with fingers on the keyboard, assigning the commands you use often to keyboard shortcuts can be a valuable time saver.
- Click the MS Office Button .
- Click the Word Options (at the bottom of the box).
- Click Customize to display the Customize options.
- Select the Category from the list on the left.
- Select the specific command from the list on the right.
- Click Assign .
- Once you are done assigning keyboard shortcuts, click Close .
- On the Word Options screen, click OK to return to your document.

in MS Word 2007: how can I define a custom keybord shortcut for Display:Final (for reviewing tracked changes)
In MS Word, shortcuts can be defined by user.
Where in the menu would I find to assign a shortcut so that with one keyboard click, I can switch to review view that says 'final'.?
There is in Word Options - Customize - Customize (keyboard shortcuts) an item 'DisplayForReview' but it only accesses the drop down option to select 'final' 'final','showing markup, 'original'. I want to access the 'final' item within that menu.

Create a macro that chooses the view you want, and assign it to a shortcut key.
- Click the square-shaped macro-recording button at the bottom of Word's application window
- Type displayFinal or a similar name in the macro name text box
- Click the Keyboard icon and choose the shortcut key you want to assign
- Click Close to start recording the macro
- Click the Final item in the review tab's tracking group
- Click the again square-shaped button at the bottom of Word's application window to stop recording the macro.
Now you can press your shortcut key to re-run this macro choosing the review tab
- I want to mention that new Word macros are saved to normal.dot template. This way macros are available in all new word documents. (at least Word 2003 does it this way) – nixda Jan 3, 2013 at 21:13

How to assign a Word command or macro to a hot-key

- Choose Customize on the Tools menu, then click Keyboard ...
- In the Categories list, choose either “ All Commands ” or “ Macros ” , as appropriate.
- In the list on the right, choose a command or macro.
- Enter a key combination in the space provided.
- Before clicking Assign , look where it says “ currently assigned to ” , and make sure you are not about to reasign a really useful shortcut!
- Also before clicking Assign , select the template where you want the assignment to be stored.
- Click Assign , then Close .
- Hold the Shift key down and select File + Save All , to save your changes to the template.

Assign a new short-cut key to any MSWord macro
- In Word 2007, left-click the Office button and select Word Options.
- Select Customize from the left frame of the screen that opens.
- From the Categories drop-down menu, scroll down and select Macros.
- From the Macros drop-down menu, scroll to PPC_SignOff. (To assign a shortcut key for Step Sign-off NA, select PPC_SignOffNA.)
- Place your cursor in the Press New Shortcut Key field.
- Perform the shortcut key combination you want to assign to this macro. Warning: If you assign a new key combination that it is currently used for an existing Word feature, the existing shortcut key will be overridden .
- If you want this keystroke to apply to all documents, select Normal.dotm under Save changes in. Otherwise, select the document. Note: To use the new shortcut for all Word-based Practice Aids, select Normal.dotm.
- Click Assign. (The new shortcut combination will appear in the Current keys box.)
- Left-click the Office button and select Word Options.
- Select Customize.
- Click the Customize button to the right of "Keyboard Shortcuts."
- In the Save changes in box on the Customize Keyboard screen, click the document name or template that contains the shortcut key assignments you want to restore.
- Click Reset All.
Changes to keyboard shortcuts in Word 2007
Some keyboard shortcuts in earlier versions of Microsoft Word no longer work as expected in Microsoft Office Word 2007. This article describes the changes to keyboard shortcuts in Word 2007 compared to the keyboard shortcuts in earlier versions of Word.

DIY macro keyboard gives designers customizable shortcuts for any app
Content creation is a big thing these days, whether you’re producing video for live streaming, making graphic art, or even digitally carving 3D models for virtual spaces. Unsurprisingly, there’s a wide variety of software tools available to creators as well, ranging from simple ones you can run directly on your phone to the more sophisticated suites that require a laptop or even a desktop. The variety of features in apps that people use on a daily basis can become mentally exhausting, especially when it comes to memorizing keyboard combos that should help speed up workflows. Our fingers can only do so much, and the number of shortcuts we have to remember across multiple apps can actually do more harm than good. This DIY project tries to make designers’ and creators’ lives a bit easier by offering a mini keyboard that can adapt its icons and actions to match the app you’re using.

So-called macro keyboards like the Elgato Stream Deck are becoming more popular not just among streamers but also among computer power users. They provide a dedicated set of buttons separate from your keyboard that you can map to almost any function in an app to make them easier to use. As popular as these gadgets might be, they’re still considered niche and, therefore, expensive, out of reach of budding creators.
If you’re anything of a tinkerer or maker, however, you can also just make your own, like what this Keybon project aims to accomplish. It’s a small box with nine tactile buttons buttons that you can assign to a specific function or keyboard shortcut. And just like those pricey commercial macro keyboards, it can switch to a different layout depending on what software you’re running at the time.
What makes Keybon extra special is that each of those nine buttons actually has small 0.66-inch screens on top, and you can select an icon to match the action that the button represents at that time. While it might be faster with muscle memory, visual cues like this will help your brain adjust when switching between apps and layouts. At the same time, you also don’t have to force yourself to actually memorize the actions and buttons and simply take a quick glance at the keyboard to know which one to press.
That said, this kind of project does require a bit of electronics and software know-how to create Keybon, but that also opens the door to more freedom in the design of the device. Fortunately, all the needed pieces are available for free, so it can also become a springboard for makers and creators to customize their own personal macro keyboard to their hearts’ content.

You can assign or remove keyboard shortcuts by using a mouse or just the keyboard. Use a mouse to assign or remove a keyboard shortcut Go to File > Options > Customize Ribbon. At the bottom of the Customize the Ribbon and keyboard shortcuts pane, select Customize.
