How to Get a Copy of Your Business License

When you are running a business, you frequently are asked by new vendors or by state agencies to provide documentation that you are properly licensed. When you don't have this information on hand, you must obtain a copy of these business licenses. Getting a copy of your business license is a necessary but sometimes time-consuming process.

Visit your state's secretary of state website to obtain a copy of your business's state licensing and registration records. Once on the home page of your secretary of state website, click on "Business," then "Online Business Filing Records."

Type in the name of your business in the search field that requests such information and click "Submit." Your business licensing information appears. Click on "View Business License" or "View Business Registration Information."

Print out a copy of your business licensing information directly from this website by going to "File" in your Internet browser and clicking "Print." You now have a copy of your business license.

Get copies of your county business licenses by visiting the business license department for your county during normal business hours. This is likely the same office where you went to license your business.

Ask the clerk at the county business licensing office for a copy of your business license. You may have to show a state-issued identification card to receive this information.

Master Business Licence: Register or Renew

A Master Business Licence, often known as MBL, is a business name registration statement provided by Service Ontario. Individuals who wish to register a small business in Ontario can apply easily online and can receive the final documents in email in 2 business hours. An MBL is an overall business set up allowing for 3 specific situations:

Sole Proprietorship

Owned by 1 individual Agency fees $49 + govt. fees Rush queue (2 hours) available New registration or renewal Option to add CRA accounts, WSIB

Owned by 2 or more individuals Agency fees $49 + govt. fees Rush queue (2 hours) available Option to add partnership agreement Option to add CRA accounts, WSIB

Trade Name/DBA/Operating Name

Owned by an existing corporation Agency fees $49 + govt. fees Used for 'doing business as name' Rush queue (2 hours) available New Registration or Renewal

Liability Protection for an MBL:

When an MBL is owned by an individual (sole proprietorship) or two or more individuals (general partnership), it does not provide liability protection. However, if the MBL is owned by a corporation (Trade Name/DBA/Operating Name) then it provides liability protection through the corporation. If you want to register a business that has features of limited liability protection, you must incorporate it.

MBL provides the following:

  • Registration is valid for a 5 year period
  • The ability to operate a business name within Ontario
  • To open a Bank account, tax accounts, obtain cheques, business cards
  • Advertise and promote the business name

The Master Business Licence does not provide the following:

  • Name protection against other business names in Ontario
  • Corporate tax benefits

A Business Name Registration , previously known as Master Business Licence (MBL) , is a registration statement document from Service Ontario, that allows business owners to legally operate their business under the designated name. Any brands you see advertising publicly, can only legally do so in Ontario by registering for this licence.

Sole Proprietorship (New or Renew)

  • Business name owned by a single individual
  • Owner must have an Ontario address
  • Owner must be above 18 years old
  • Online filing fee is $49
  • Government registration fee is $60
  • Can be ready in 2 hours if Rush Queue is selected

Trade Name (New or Renew)

  • Owned by a corporation registered in Ontario
  • Known as operating name, doing business as (DBA)
  • A non-Ontario corporation cannot own it, unless registered extraprovincially

Owned by Two or More Persons or Corporations

  • Known as General Partnership
  • Owned by more than one individuals or corporations
  • Involves with a partnership agreement
  • Online filing fee is $99

New Registeration or Renewal of an Existing One: You may register or renew a business name (previously known as Master Business Licence) in the form of a Sole Proprietorship, Trade Name or General Partnership. Upon registration completion, you will receive the final documents named “registration statement”. The document will show the name of business, the address of the business, the name of the business owner, address and business activity. The registration will provide a Business Identification Number, which is a 9 digit number specifically dedicated to your registration with the Province of Ontario; at the lower corner of the registration the date of the expiry will be listed (see example). This date provides you the 5 year expiry date of your registration. It is important to make note of this date as when it comes around, you will be required and are responsible to either renew the registration or allow it to expire.

Ownerships and Types

Owned by One Person (Sole Proprietorship): An individual wants to enjoy certain advantages by operating his/her business in a designated business name instead of his/her personal name. These advantages include opening a bank account, developing a brand, or acquiring a municipal permit and more. In this case, the type of legal entity would be “sole proprietorship” in the registration statement. The individual must have an Ontario address and be more than 18 years old.

Owned by One Corporation (Trade Name): A corporation may also register a master business licence to operate its entire business or a certain department under a different operating name other than its legal name. These operating names are also commonly known as Trade Name or Doing Business As (DBA), or a fictitious name, or an assumed name. Generally, a numbered corporation (ex. 654321 Ontario Inc.) register operating names to have a brand value or publishing on business card or advertising publicly or obtaining a municipal licence. Another common reason for which a corporation registers a Master Business Licence is, to operate its separate department under a separate business name or to have a separate bank account for accounting purposes. The registration statement will show the legal entity type as “Corporation”. The corporation must have an Ontario address and must be registered in Ontario. A federal corporation or non-Ontario provincial corporation can register a Master Business Licence provided that the corporation is registered extra-provincially in Ontario.

Owned by Two or More Individuals or Corporations (General Partnership): When two or more individuals want to set up an unincorporated business in Ontario, they can register a Master Business Licence as a form of General Partnership. Alternatively, two or more corporations (or individuals and corporations as partners) can also register a Master Business Licence in the form of a General Partnership. All individual partners must have address in Ontario and be above 18 years of old. The corporations must provide an address in Ontario and be registered in Ontario.

Almost all types of businesses are required to have one or more business licenses or permits. Business owners often display these licenses or permits where the public can see them, and may also have to provide copies to other businesses, banks or government agencies for a variety of reasons.

Business licenses and permits are issued by government agencies at the federal, state, county and municipal levels. Your business was likely issued a state business license, and, depending on where your business operates, a municipal business license as well.

Other licenses and permits that you may have include professional licenses , such as those for cosmetologists, building contractors, or accountants, as well as building permits and health inspection certificates. If you deal in products of a highly regulated nature, such as alcohol or firearms, you might also have federal permits and licenses. Follow Instructions when Ordering Business Licenses

Ordering a new copy of a business or professional license may require several steps. This is because a lost or stolen license might be used inappropriately by another business or individual. Steps you may have to take include:

Sending a written request: In some cases, you may have to submit your request for a copy of your license via postal mail. You might have to write a letter that includes your name business address, licensing number and the type of license you are requesting. The agency may also request an explanation of what happened to your license.

As with other sensitive correspondence, it's a good idea to send your request with some form of tracking. Certified mail is affordable, provides proof of mailing and you can request that your request was received by the agency.

Visiting the agency: Not all licensing agencies are set up to work with walk-in requests. Contact the agency, or review its website, to learn whether it is possible to request and receive your license copy directly.

Paying a replacement fee: Expect to pay a replacement fee for your lost license or permit. It's important to determine what kind of payment the agency accepts. Some may only accept guaranteed funds, such as a money order or cashier's check. Others may accept personal checks or even credit cards.

Alternatives to Requesting a Copy

If another business or individual needs verification that your business is appropriately licensed, you have the option of directing them to the website of the agency that has issued the license or permit.

  • In some cases, a state agency may provide online accounts to businesses. You may be able to download a copy of your license or licensing letter from your account.
  • The person requesting the information can perform a search which will pull up information about your business, including its licensing status and renewal date. Functions may be available on a page or a link labeled "Verification." While performing a search may not satisfy the requester, in many cases this is an easy and cost-effective alternative to making a copy of your license and sending it to someone.
  • WA.gov: Check Status of a Business or Professional License

  • Business.gov: Business Licenses and Permits
  • Apply for a copy of the license according to the agency’s regulations. For example, if you lose your Wisconsin sales tax license, you must either call or write the agency for a copy.
  • Your attorney, if he has power of attorney, can obtain a copy of the license for you.
  • The respective agency generally charges a fee for a copy of the license.
  • Only an authorized individual, such as the sole proprietor or a registered agent or member of the company, can obtain a copy of the license.

What is a Master Business License in Ontario?

Individuals or companies can conduct business under a name other than their legal name with a Master Business License in Ontario , also known as an MBL, business license , or business registration .  This registration is valid for five years and is the most cost-effective way to start a business in Ontario.

What Does The Master Business License Include?

Usually, the licence registration includes the name of the business , its address, the name of the business owner, the business owner’s address, and the business activity. 

The registration will also include your Business Identification Number. This nine-digit number is unique to your business registration in Ontario, and you will find the expiration listed at the bottom of the registration .

This date specifies that your registration will expire five years after you apply . Because you are responsible for renewing your registration , it is crucial to note this important date.

There will be no reminders from the government. If you neglect to renew after the expiration date, you have a limited grace period.

Who Can Register a Master Business License?

Most adults can obtain an Ontario Business License due to the registration requirements. You can  register for a Master Business Licence in Ontario if you are 18 or older. Unlike incorporation, registration does not require you to be a permanent resident or citizen. 

It’s essential to check with Immigration Canada if you’re unsure whether your immigration status qualifies you to apply for a Master Business License in Ontario .

Master Business License Requirements by Business Type

Before applying for a Master Business License, check out the requirements for each business type :

Sole Proprietorships

Only a sole proprietor can register a business in Ontario as a sole proprietorship . For new business owners, incorporating as a sole director is another alternative.

General Partnerships

In Ontario, two or more people can form a General Partnership . Corporations that want to conduct business jointly can also use the General Partnership . 

There is no set percentage of ownership or responsibilities for stakeholders. This is why it’s critical to spell out the specifics of the partnership arrangement, including the functions of each owner and how much of the company they control.

Trade Name registration is only available for existing corporations that have been incorporated or imported into Ontario. They would already have a Business Ontario Corporate number in this case.

Another advantage when registering a Trade Name in Ontario is that it allows you to be more creative with your branding. Under the primary corporate brand, the Trade Name gives you the freedom to manage additional business names. Your corporation has an unlimited number of trade names . 

Application Process

You can apply for a Master Business Licence in several ways:

  • Online registration: Registering online is simple and quick, and you can complete it through Ontario’s service portal or a third-party service provider. 
  • By mail : If you don’t have access to the internet, you can register your business by mail . However, it can take a while longer to register via mail . 
  • In person: Finally, you can submit your application in person if you live in Ontario. The licence will be mailed to you upon completion.

How to Cancel a Master Business License?

You can amend or cancel your Master Business License after you obtain it. You’ll need to revoke your old permit and re- register if you want to change the name of your business .

You have the option of cancelling your business license online or via mail . If you choose to do this online , you’ll need to go to the Service Ontario website and use the Change of Business Information tool.

Moreover, you must revoke any business license associated with your registered business if you close it. To avoid an audit on your business after the closure, you should notify the Canada Revenue Agency about the cancellation. 

How Much Does it Cost to Get a Master Business License in Ontario?

Before registering a business name in Ontario , you should run a NUANS report to determine if someone has previously established a business under your name. This report shows you which other business names or trademarks have been registered that are similar to yours.

Depending on the records you search for, these searches can cost anywhere from $8 to $26. Furthermore, the government charges $60 to register a master business licence online , whereas Service Ontario charges $80 to register in person or by mail . 

What Can You Do With a Master Business License?

Numerous perks come with applying for a Master Business License . The most significant benefit would be that you could freely and lawfully operate under a registered business name in Ontario.

This includes the ability to open bank accounts, obtain checks and business cards, and open tax accounts under the business name. Moreover, since you can now get lower prices and can order from wholesalers, you’ll save your company significant amounts of money.

With the Master Business Licence , you can also lawfully advertise and promote your business name on marketing materials, such as billboards, business cards, TV commercials etc.

  • Flexibility to make changes after registration is complete

All in all, these are just a few disadvantages that make new business owners consider incorporating their business. So if there’s a chance your business brings a considerable risk of personal liability, think about incorporating instead of obtaining a business license. 

Corporations are separate legal entities, meaning any debts or liabilities collected by the company won’t automatically transfer to you.

When starting a new business in Ontario, registering a business is a simple but necessary step. Getting a master business license , whether you’re starting a sole proprietorship or a partnership, ensures that your company has the legal status it needs to operate.

Although obtaining a Master Business Licence is not difficult, not all businesses require one to function. You won’t need to register your name if you plan to use it as a business name. You will need a Master Business Licence to register a business under a different name or trademark . 

However, the disadvantage of a Master Business Licence is that it does not protect owners from company responsibilities. If your company is at risk of occurring obligations you want to avoid, becoming a corporation is the best option.

Typically, you won’t need a Master Business Licence if you plan to incorporate your business rather than register as a lone owner. There are, however, several exceptions to this rule worth mentioning. If you wish your corporation to do business under a name other than the corporate name, such as a trade name , you’ll require a Master Business Licence . 

A new Ontario Master Business Licence or an Ontario Master Business Licence renewal will set you back $80. When you apply for a new or renewed Master Business Licence , you will receive it in 20 business days.

Register your business online

Search for an entity

Anyone can do a free search of the Ontario Business Registry to get basic information about a business or not-for-profit organization.

To get more detailed information about an entity (such as a detailed profile report), you can order a search product directly through the ministry or by using one of the government’s authorized service providers.

If you have an existing ServiceOntario account, you can order a search product for your own entity by signing into My Ontario Account  and selecting “search products” in the drop-down list from your entity’s profile.

Access your existing corporation or other entity

If your corporation or other entity was registered or incorporated before the launch of the Ontario Business Registry on October 19th, the information has been migrated from the old system and it has a profile in the registry.

To access a corporation or other entity profile, make filing under business statutes you will need its company key . A company key is similar to the Personal Identification Number ( PIN ) you use at the bank or to access other online accounts or services.

Step 1. Get your company key

You will need a company key to access the Ontario Business Registry. The company key will be emailed to the official email address on file . If an email address is not on file , the company key will be mailed to the registered or head office address or principal place of business address on record. If the business address has changed from what is on record, you will need to answer additional questions to have a company key emailed to you.

Step 2. Log in to My Ontario Account

Once you have your company key, you can sign in with your My Ontario Account and create a ServiceOntario Account.

If you currently access your ServiceOntario Account using ONe-Key, you will need to migrate your account over to a My Ontario Account by following these steps:

  • Create a My Ontario Account and select “yes” when prompted about migration.
  • Once you create a My Ontario Account, you will be able to access your existing ServiceOntario Account to access the OBR .

A My Ontario Account is a unique electronic credential that provides you with secure access to government services. With it, you can easily create your personal ServiceOntario Account, which gives you access to various provincial services, including the OBR .

Step 3. Create your ServiceOntario Account

Once you have signed-up for your My Ontario Account, you will be asked to create your ServiceOntario Account.

You can now link your business to your ServiceOntario Account using your company key. Once completed, your business will be listed on your ServiceOntario Account and you can access the OBR from this page.

Notices of filing requirements

If you are incorporating a business or not-for-profit, registering a business name, partnership or extra-provincial company, or wish to make changes or dissolve an existing entity, you can get ready to file by using these guides: Notices of filing requirements .

These notices will tell you what information you need and how you can file under all eight business law statutes:

Get help accessing registry services

You can hire an intermediary if you need additional help or prefer to have someone else file transactions in the OBR for your business. An intermediary is a business or individual that can complete transactions in the OBR on your behalf. These types of intermediaries could include:

  • legal professionals
  • accountants
  • members of Ontario Association of Professional Searchers of Records
  • fee-exempt broader public sector
  • service delivery partners

Ontario Business Registry Partner Portal

The Partner Portal allows intermediaries to make online transactions in the OBR on behalf of their business clients.

All intermediaries who have set up an account in Partner Portal are eligible to be included in a list of intermediaries available to business owners looking for help with OBR services.

Co-operatives

Co-operative corporations have profiles in the Ontario Business Registry and may file their Corporations Information Act notices and returns directly in the registry.

At this time, while co-operative corporations do have profiles in the Ontario Business Registry, these types of corporations cannot transact in the registry. For more information, contact us .

Annual returns

You can file your annual return directly in the Ontario Business Registry.

On May 15, 2021, the Canada Revenue Agency stopped accepting corporations’ annual returns on behalf of the Ministry of Public and Business Service Delivery ( MPBSD ).

From May 15, 2021 through October 18, 2021, corporations whose annual returns were due during that period we exempt, meaning these corporations did not have to file an annual return for 2021.

Corporations who have an annual return due after October 18, 2021 must file their annual returns, which they can now do directly in the registry.

To file your corporation’s annual return, go to the corporation’s registry profile and select the “Make Changes” drop-down list. On that drop-down list, you will find the option to file an annual return.

Company information

It is the responsibility of the corporation or other entity to keep their information on the public record and beneficial ownership information accurate and up-to-date.

Update your company information

Changes to information can be made by filing a Notice of Change:

To update information for an existing business or not-for-profit corporation, please use the Company Key Request Form for a secure company key that will provide you the access you need.

Beneficial Ownership Information

As of January 1, 2023, corporations are required to keep their beneficial ownership information on file and provide such information upon request by law enforcement, and regulatory and tax authorities. This document must be reviewed at least once a year.

Information on the Public Record

All information filed on the Ontario Business Registry, such as registered office or other address information, will be placed on the public record and publicly available for searches under the business statutes. Administrative information such as contact information for the filing and the official email address is not shown on the public record.
