The goal of your Executive Summary is to quickly engage the reader. Explain to them the type of app business you are operating and the status; for example, are you a startup, do you have a mobile app that you would like to grow, or do you already have several successful app businesses?

Next, provide an overview of each of the subsequent sections of your plan. For example, give a brief overview of the mobile app industry. Discuss the type of mobile app you are operating. Detail your direct competitors. Give an overview of your target customers. Provide a snapshot of your marketing plan. Identify the key members of your team. And offer an overview of your financial plan.

Company Analysis

In your company analysis, you will detail the type of mobile app you are operating.

For example, you might operate one of the following types:

  • Business app : this type of mobile app generally helps increase productivity and/or decrease costs.
  • Entertainment app : this type of mobile app includes news, social networking, music, video, etc.
  • Lifestyle app : this type of mobile app includes things like fitness, shopping, dating, etc.
  • Education app : this type of app must have the primary objective of advancing a user’s knowledge and overall breadth in a particular subject.
  • Utility app : this type of app includes things like scanners, trackers, health-related apps, cell service providers, etc.
  • Travel app : this type of app aids in planning and booking trips.
  • Other app : there are a limitless number of areas in which a successful app could be created

In addition to explaining the type of mobile app you operate, the Company Analysis section of your business plan needs to provide background on the business.

Include answers to questions such as:

  • When and why did you start the business?
  • What milestones have you achieved to date? Milestones could include sales goals you’ve reached, new store openings, etc.
  • Your legal structure. Are you incorporated as an S-Corp? An LLC? A sole proprietorship? Explain your legal structure here.

Industry Analysis

First, researching the mobile app industry educates you. It helps you understand the market in which you are operating.

Secondly, market research can improve your strategy particularly if your research identifies market trends. For example, if there was a trend towards quiz apps, it would be helpful to ensure your plan incorporates gamification into your app.

The third reason for market research is to prove to readers that you are an expert in your industry. By conducting the research and presenting it in your plan, you achieve just that.

The following questions should be answered in the industry analysis section:

  • How big is the app industry (in dollars)?
  • Is the market declining or increasing?
  • Who are the key competitors in the market?
  • Who are the key suppliers in the market?
  • What trends are affecting the industry?
  • What is the industry’s growth forecast over the next 5 – 10 years?
  • What is the relevant market size? That is, how big is the potential market for your mobile app? You can calculate this figure by multiplying the size of your target customer market by the amount they might spend per year on your app.

Customer Analysis

The customer analysis section must detail the customers you serve and/or expect to serve.

The following are examples of customer segments: business operations managers, college students, sports enthusiasts, soccer moms, techies, teens, baby boomers, etc.

As you can imagine, the customer segment(s) you choose will have a great impact on the type of mobile app you operate. Clearly, baby boomers would want different pricing and product options, and would respond to different marketing promotions than teens.

Try to break out your target customers in terms of their demographic and psychographic profiles. With regards to demographics, include a discussion of the business types (if B2B), ages, genders, locations and income levels of the customers you seek to serve.

Psychographic profiles explain the wants and needs of your target customers. The more you can understand and define these needs, the better you will do in attracting and retaining your customers.

Competitive Analysis

Direct competitors are other app businesses in your niche.

Indirect competitors are other options that customers have to achieve similar results to what your app offers.

With regards to direct competition, you want to detail the other app development companies with which you compete. Most likely, your direct competitors will be mobile app businesses offering the same type of service or activity that yours does.

For each such competitor, provide an overview of their businesses and document their strengths and weaknesses. Unless you once worked at your competitors’ businesses, it will be impossible to know everything about them. But you should be able to find out key things about them such as:

  • What types of customers do they serve?
  • What products do they offer?
  • What is their pricing (premium, low, etc.)?
  • What are they good at?
  • What are their weaknesses?

The final part of your competitive analysis section is to document your areas of competitive advantage. For example:

  • Will you provide superior features?
  • Will you provide better customer service?
  • Will you offer better pricing?

Think about ways you will outperform your competition and document them in this section of your plan.

Marketing Plan

Traditionally, a marketing plan includes the four P’s: Product, Price, Place, and Promotion. For an app business, your marketing plan should include the following:

Product : in the product section, you should reiterate the type of mobile app that you documented in your Company Analysis. Then, detail the specific features of your app.

Price : Document how you will price your app and if there will be different pricing levels (e.g., free, entry, premium) and what those levels will be.

Place : Place refers to your distribution method. Document how customers can download your app (e.g., from your website, the Apple Store, Google Play, etc.).

Promotions : the final part of your mobile app marketing plan is the promotions section. Here you will document how you will drive customers to your app(s). The following are some promotional methods you might consider:

  • Social media advertising
  • Advertising in magazines, newspapers and/or trade journals
  • Reaching out to local bloggers and websites
  • Pay per click advertising

Operations Plan

Everyday short-term processes include all of the tasks involved in running your mobile app such as writing code, building upgrades, fixing bugs, providing customer service, etc.

Long-term goals are the milestones you hope to achieve. These could include the dates when you expect your 10,000th app install, or when you hope to reach $X in sales. It could also be when you expect to hire your Xth employee or launch a new location.

Management Team

To demonstrate your mobile app’s ability to succeed as a business, a strong management team is essential. Highlight your key players’ backgrounds, emphasizing those skills and experiences that prove their ability to grow a company.

Ideally you and/or your team members have direct experience in app development business. If so, highlight this experience and expertise. But also highlight any experience that you think will help your business succeed.

If your team is lacking, consider assembling an advisory board. An advisory board would include 2 to 8 individuals who would act like mentors to your business. They would help answer questions and provide strategic guidance. If needed, look for advisory board members with experience in mobile apps and/or successfully running small businesses.

Financial Plan

Your financial plan should include your 5-year financial statement broken out both monthly or quarterly for the first year and then annually. Your financial statements include your income statement, balance sheet and cash flow statements.

Income Statement : an income statement is more commonly called a Profit and Loss statement or P&L. It shows your revenues and then subtracts your costs to show whether you turned a profit or not.

Mobile App sales

Balance Sheets : While balance sheets include much information, to simplify them to the key items you need to know about, balance sheets show your assets and liabilities. For instance, if you spend $100,000 on building out your mobile app, that will not give you immediate profits. Rather it is an asset that will hopefully help you generate profits for years to come. Likewise, if a bank writes you a check for $100.000, you don’t need to pay it back immediately. Rather, that is a liability you will pay back over time.

Cash Flow Statement : Your cash flow statement will help determine how much money you need to start or grow your business, and make sure you never run out of money. What most entrepreneurs and business owners don’t realize is that you can turn a profit but run out of money and go bankrupt.

In developing your Income Statement and Balance Sheets be sure to include several of the key costs needed in starting or growing a mobile app:

  • Cost of equipment like computers, data warehousing, etc.
  • Payroll or salaries paid to staff and independent contractors
  • Business insurance
  • Taxes and permits
  • Legal expenses

Attach your full financial projections in the appendix of your plan along with any supporting documents that make your plan more compelling. For example, you might include your store design blueprint or location lease.

In this section, present your business in detail. It should provide the details of your business & app name, the location of your office, the structure of your business, and other such information.

MOBILE APP FINANCIAL MODEL EXCEL TEMPLATE FEATURES

Basically, this financial plan consists of 3 main sections:

  • Revenue Model Inputs
  • Cost Inputs
  • Report Outputs

In summary, the flow is: Make inputs for your download projections and different revenue streams > Input your variable and fixed expenses > Analyze results at report outputs. This is a three-step cycle and according to the results, you can go back to the input sections and play with your projections until you find a reasonable point for your project.

This is the Navigation Panel of the mobile app financial model template. Moreover, you make your revenue-related inputs to blue sections and cost-related inputs to red regions.

After completing the inputs, you will see the outcomes in the green report’s sections.

Genarally, this is the main Settings section under Dashboard.

From the  Model Config box (on the right side) you can configure your model:

  • Projection Years: You can choose to make your projections from 1 to 5 years. This financial model will update all reports according to your selection.
  • Start Date: Input the month-year for operations to start. After that, the tool will update all reports and input tables accordingly.
  • Currency: This setting does not affect the formatting of values but several notes will be updated according to this selection.
  • Instructions: Here you can show/hide all instructions boxes in the model.

Left side is the Model Variables section of the financial model excel template for mobile app business. Here you input the values you will use all through the model:

  • There are 4 different variable tables: Apps, Platforms, In-App Items, and Subscriptions. So, you input your names here and they will appear in the dropdown selections at Input Sections.
  • This is important to ensure the same texts are used everywhere in the model to prevent data discrepancies
  • Attention: If you decide to change values here, later on, make sure you update your existing selections.

1. MOBILE APP REVENUE MODEL INPUTS

Download projections & pay per download prices.

Under this section you will input the estimated download units for your apps per platform based:

  • You select your Product and Platform from the left side dropdown selectors and input monthly estimations. (If you want to add new items in these dropdowns, you can update the Settings tables at Dashboard)
  • Then you input monthly download estimations and prices in the first 2 tables. If you are not planning to charge users for downloads, you can leave the prices table empty. (Pay-Per-Download Revenue will be zero)
  • Attention: In this mobile app financial model, white areas are where you make your inputs or selections. Gray cells are calculations and you should not change it manually.
  • Downloads Revenue is a result of the simple multiplication of units and prices per month.

RETENTION & ACTIVE USERS CALCULATION

This is where we calculate the active users according to the download units we inputted in the previous section of this mobile app financial model excel spreadsheet:

  • Retention Rate is the metric that shows the percentage of your users who still use your app 1 month after download. For example, a retention rate of 80% means that if 100 people downloaded your app, 80 people are using your app the next month.
  • According to your inputs on the left table, your Cumulative Active Users will be calculated below.

Therefore, in the financial model, if you want to micro-manage this Retention Rate and Active Users section, you can also change the calculated monthly Engaging User percentages. (You will need to overwrite the formulas)

ADS REVENUE

ADS Income Model - Someka TextSS07

This is where we calculate our Ads Revenue. Similarly, if you don’t plan to place ads in your apps, you can skip this section. Like the previous sections, you select your Product and Platform from the left side dropdown selectors and fill Ad Parameters.

How is Ads Revenue Calculated?

  • Sessions per Month for a Typical User : How many times is an active user opening your mobile app?
  • Average Minutes per Session : When a user opens your app, for how long do they use it?
  • Ad Impressions Per Minute : How often do you plan to show ads in your app?
  • Average CPM (Cost per 1000 Impressions) : This is how much you are going to earn per thousand impressions. You can use data from platform statistics or from your past info.
  • Then, monthly Ad Revenue per User will be multiplied by Monthly Active Users which is calculated in the Userbase section.
  • Lastly, this will give us the Ads Revenue in the currency you input in the Dashboard.

IN-APP PURCHASES

In App Purchases - Someka TextSS08

Similar to the Pay-Per-Download inputs, here we sell in-app items. However, if you are not planning to offer any in-app purchases, you can skip this section ıf this mobile app financial model template:

  • You input monthly selling estimations and prices in the first 2 tables.
  • In-App Items the template calculates the Revenue via simple multiplication of units and prices per month.

SUBSCRIPTIONS

Subscriptions - Someka TextSS09

Firstly, if you plan to offer subscriptions, here you can input projected paying subscribers and related revenue streams. But if you are not planning to have subscription revenue, you can skip this section.

  • You select your Product, Platform, and Subscription Name and input monthly paying subscribers and subscription prices in the first 2 tables.
  • Subscription Revenue is a result of the simple multiplication of subscribers and prices per month.

2. FINANCIAL MODEL COST INPUTS

Commission rates & variable costs.

Here you define the commission rates for each platform for the mobile app financial model template in Excel. In short, this is where you lose a certain ratio of all your sales:

  • Some platforms do not charge commissions for Ad Revenue, so we separated that field. All other revenue models (Pay-per-download, In-app purchases, Subscriptions, and Other Revenue) will be subject to the All Sales Commission rate on the left.
  • Commission amounts will be calculated automatically via a simple multiplication of revenue amount and commission percentages.

Generallary, the variable Costs are a type of cost that changes with the amount of activity of your app(s). Besides commissions, we have included 3 different Variable Cost Tables:

  • Costs Per Download: These amounts will be directly multiplied by download units of your mobile app.
  • Per Active User: These amounts will be directly multiplied by Cumulative Active Users of that month.
  • Per Paying Subscriber: These amounts will be directly multiplied by the Number of Paying Subscribers (which is inputted in the Subscriptions section)

SALARIES & FIXED COSTS

Fixed Costs are a type of cost that does NOT change with the number of app activities. These are paid regardless of any revenue, downloads, subscribers, etc.

We have separated Fixed Costs into two different tables in this mobile app financials template:

  • Salaries: Input employees and monthly projected salaries. You can start some of them not from the beginning but later instead.
  • Other Fixed Costs: All OPEX goes here. Rent, utility bills, travel expenses, hosting, etc.

STARTUP COSTS

Startup Costs are the expenses that are prior to the going live date of your startup budget:

  • These costs will be recorded 1 month prior to the Start Date in the Output Report.
  • Startup Costs are especially important for Breakeven Analysis in order to find out when will you be able to pay out the initial expenses and start making real profits.
  • For the sake of simplicity, we ignored amortization and depreciation in the Breakeven Analysis. So, if you have a significant amount of fixed assets and want to include depreciation, just put them as revenue in the Other Revenue section (or you can deduct them from monthly expenses)

3. REPORT OUTPUTS

Financial statements.

In this section, you will set up three financial statements:

  • Income Statement (P&L)
  • Balance Sheet
  • Cash Flow Statement

In the Income Statement, most of the fields consist of automatic calculations according to your entries from Input Sections. You will just need to input depreciation, amortization, taxes, and interest in order to reach Net Income.

For Balance Sheet and Cash Flow Statements, all formulas are set up and ready to be used. (You will need to fill out white areas)

BREAK-EVEN ANALYSIS

Basically, the break-even analysis is one of the most critical reports in our financial model:

  • This analysis shows us when we pay back (cover) all startup costs and start making profits.
  • Most startups, start with a negative balance. What matters is how quickly you pay this back.
  • If the break-even point is too far from what you expected, then you should increase revenues or decrease variable costs (like salaries for example).
  • This is a pivot report so that you can change between Monthly / Quarterly / Yearly analysis by changing pivot fields.

I gave 4 because for ‘subscriptions” instead of allowing me to add a % of the retention rate from the downloads, I have to go back to both the downloads figures and the retention figures that I previously inputted on every single month for every line of revenue to do the calculation on the side and to make sure I don’t input a number that is higher than the retention rate…all this could be done as a % like you set up for retention…that wahy we input a %-only of “how many people that are still in the APP after one month will decide to subscribe and pay”, that way it would save me a lot of time. Is there already a way to do it faster like that?

What analytical and marketing tools should you include in your business plan for a mobile application? What benchmarks are a must to prepare a business plan for your application or a mobile game? One of the most common steps before getting financing for your application or mobile game, or before starting development, is to prepare a business plan for your app. Preparing a business plan for your mobile application is much more difficult than preparing a plan for a small business that operates locally due to the scale of operation and the number of variables.

Before you take your first step in creating a business plan for your mobile application, you should have a mobile app mockup with the exact number of screens and functionalities that will be included in your app. The software house can use this document to estimate the cost of creating the mobile application, and the valuation with a detailed schedule must be included in the business plan in the section Mobile application development costs ( Development/team costs + broken down monthly).

If you are introducing an application or a mobile game to the App Store or Google Play in 2021, investing in tools will be a must. Which tools should you consider when creating a business plan for your mobile app or game?

Mobile app analytics tools – one of the essential tools that will allow you to understand your user, his behavior in the game, in the mobile app and get to know KPI indicators (retention, ARPPU, ARPDAU etc.). The market offers over a dozen mobile analytics tools (Firebase – Google Analytics, GameAnalytics, devtodev, DeltaDna, Unity Analytics and others) in games and mobile applications. Some tools are free, while others are freely available up to a certain number of monthly active users.

If you are promoting your mobile application, Firebase/Google Analytics will be the way to go. If you are dealing with games, it is worth reaching for other platforms for mobile analytics.

Mobile attribution (Mobile Measurement Partner) – one of the key tools if you conduct canvassing activity and bet on paid installations of apps, games from ad networks (Facebook, Google Ads, Apple Search Ads, Unity Ads, Vungle, Applovin, Adcolony and others). Mobile attribution is used to analyze the effectiveness of individual campaigns, ad groups and ad creations in terms of return on investment for advertising. By means of the MMP platform, you can find out your cost of one installation, the cost of user registration or the cost of a paying user. If you earn money from in-game advertising, you will know your exact daily earnings from one user or the same data for, e.g., 7 days (e.g. Hyper-Casual games).

Other MMP tools have a different pricing model (cost for paid installation, monthly cost depending on the monthly marketing budget to promote the game or application). The MMP platform for mobile attribution is a must-have if you intend to launch a game or a mobile app on the market.

You can boost organic traffic from search and organic traffic from browsing the store (categories, applications, similar games, You might also like), namely the number of app views, the number of visits to the product page and the number of installations by optimizing the metadata (title, brief description and description for Google Play and title, subtitle, keywords, in-apps for iOS).

When it comes to marketing mobile apps, positioning mobile applications and optimization of metadata is a long-term strategy . There are over a dozen tools on the mobile marketing market ( Appfollow, Appradar, MobileAction, Apptweak , Appannie) for App Store Optimization. If you are an indie developer, it is worth investing in an ASO marketing tool. All App Store Optimization tools work in the subscription model.

Tools for detecting installation frauds – if you plan to advertise your application or game through Facebook or Universal campaigns that promote applications in Google Ads and you are conducting small-scale operations (small number of partners and a small number of installments paid per month), you will not be needing a fraud detection tool in your campaigns.

However, if you operate on a large scale and are looking to promote your game, application in several video advertising networks, using motivated traffic and affiliation, you will have to invest in fraud detection tools such as Scalarr or Fraudscore .

Data Warehouse (Big Data, data warehouse) – The basis of BI (business analytics) systems is a data warehouse, i.e., a basic tool for any major developer who wants to understand the user in their game, and also to make so-called smart decisions when it comes to game development, e.g. in terms of retention and increasing revenue per user. The most popular data warehouses for applications and mobile games are currently BigQuery or AWS Amazon.

Business analytics (BI – Business Intelligence) –in order to visualize data from a data warehouse you will need a business analytics tool.

The most popular business intelligence tools for games and applications around today are Looker and Tableau.

The largest development studios build their own systems for business analytics (BI).

Automation of advertising campaigns – if you run a huge number of campaigns in several advertising networks, it is worth focusing on the automation of acquisition activities based on selected indicators.

One such platform is Bidshake . In the future, the acquisition of users for games and mobile applications will be mainly based on automation.

Installation and registration costs, the cost to acquire a paying user (advertising campaigns, creating advertising materials)

One of the key sections in your app business plan is the section with acquisition costs in selected advertising channels. These costs should be broken down into several levels depending on the business model. If you are advertising a hyper-casual game, your main cost will be CPI or ECPI, and if you are promoting a mobile application in a subscription model, your main indicators will be user registration cost, paying user acquisition cost.

To prepare this data, you will need to know the market benchmarks for a given advertising network (e.g. the cost of acquiring an installation in the US through the Applovin advertising network) or, for example, what % of users make purchases in the dating application. This data is available in reports of ad networks, analytics tools, mobile attribution.

Monthly breakdown of estimation of the number of downloads, revenues and ROAS

An even more difficult task in the business plan is to estimate monthly revenue using the retention rates D1, D7 and the number of daily ad impressions when we know the eCPM. No two games are the same and sometimes the estimates of mobile game developers are simply overstated. If your mobile application or game is monetized with IAP, you will need other indicators to estimate your revenues.

Next, adjust any income taxes, payroll taxes, or transaction fees such as marketplace or credit card fees due upon transaction. Below that, adjust any inventory and return fees, such as the cost to store any physical goods, any markdowns of resale items, return processing costs, and averaged rate of returns. And at the bottom, the inflation rate is defined as a dynamic input that can be manually entered for each year in your horizon period. This is incredibly important, as inflation is a critical factor that will impact every business for the foreseeable future.

Define revenues for mobile business applications

Next, the revenue for your mobile app can be projected as subscriptions, products sold, or ads displayed. This business plan compares all three streams against each other for analysis: For a subscription-based business, the Subscriptions tab can assess up to ten subscription plans to compare. Define the frequency of the payments, the lifetime period (or how long the average user stays subscribed), lifetime value (or how much they pay over their lifetime), and new monthly subscriptions forecasted for each price tier. The model then projects the new subscriptions per month, active subscriptions per month, and forecasted revenues per month of each of your subscription tiers.

The Products tab assesses up to 10 different product types and sizes, their price, sales per month, and monthly sales growth rate. For a mobile app, this could be in-app purchases or different price-points for the app itself to test against each other. As mentioned at the beginning, this business plan doesn't have to be used for mobile apps alone: any business can use this to scenario-plan different products and price points, like if you need a business plan for a restaurant with a website or a business plan for a trucking company that conducts sales online.

Marketing and sales calculates marketing expenses per each subscription and product, followed by sales costs such as transaction fees, which are calculated on the Fields tab. Overhead calculates headcount expenses by role, and salary, bonuses, payroll taxes, equipment costs and amenities per head to find the total cost per employee. The company-specific overhead is listed underneath that, which can be defined by their name, frequency, dollar per unit, and cost per month.

The expense totals are listed underneath that in the expenses section. IRR is a critical metric to estimate the profitability of potential investments and helps assess if this business investment will be worth it. Excel is part of the Microsoft Office “suite” of programs which, while it isn’t  that  expensive to purchase, is still an unnecessary cost for many of today’s fledgling businesses.

When you boil it down, Microsoft Excel is simply a spreadsheet program, for which there are many alternatives. Even better, many of those alternatives are free!

But just how good are these free alternatives to Excel? And which ones are the best? Here’s a roundup of what we consider to be the three absolute best free alternatives to Microsoft Excel.

1. Google Docs Spreadsheet

Chances are you already use a lot of Google products on a daily basis (e.g., Gmail, Google+, etc.) and therefore, you likely already have a Google account. If this is the case, you’ll have access to the Google Docs Spreadsheet application without any extra effort at all.

Essentially, Google Docs Spreadsheet is Google’s own version of an Excel-like spreadsheet application; the only differences are that it’s available for free, without having to download anything to your desktop.

Google Docs Spreadsheet looks pretty similar to Excel but as you’ll notice, it actually operates inside your web browser. It has much of the same functionality as Excel including a range of charts and the ability to create formulas, so it’s a pretty good alternative if you’re looking to save that bit of extra money on previous Microsoft Excel expenses.

What’s more, you can actually use Google Docs anywhere you are, so long as you have an internet connection. This makes working remotely on your spreadsheets easier than ever, as you can be sure that your files are backed up online automatically too.

2. OpenOffice

OpenOffice is a solution that is being utilized by more and more businesses these days. It’s yet another extremely feature-rich and completely free alternative to Microsoft Excel.

Unlike Google Docs Spreadsheet, OpenOffice is a downloadable program and operates locally on your personal computer (much like Excel). It works on Windows, Mac OSX and Linux, so no matter which operating system you’re using, OpenOffice is pretty much guaranteed to work perfectly.

In terms of functionality, OpenOffice is very similar to Microsoft Excel. It looks very similar and has charts, macros, and most of the other features you might be familiar with if you’ve previously used Microsoft Excel.

One of the benefits of OpenOffice over Google Docs Spreadsheet is that once downloaded, you won’t need access to the internet in order to use the program. It should also be noted that OpenOffice allows you to open, edit, and create Excel worksheets, so it’s perfectly easy to make the switch from Excel to OpenOffice without much hassle.

3. Zoho Sheet

Lastly, we have Zoho Sheet . This is another cloud-based application (like Google Docs Spreadsheet and the Excel Web Application), so keep in mind that you’ll need an internet connection in order to use it.

Zoho offers a lot of cloud-based web apps, many of which aren’t free. But luckily for us, Zoho Sheet is. All you need to do is create a free account with Zoho and then sign in. At this stage, simply head to “Productivity” on the menu and select the “Sheet” app from the list.

Zoho Sheet looks very similar to Microsoft Excel and it allows you to work with local files on your computer or Google Docs files if you prefer. And of course, you can also create files from scratch in the Zoho Sheet app.

For most small business owners, this is yet another great alternative as it offers most of the functionality that you’ll be familiar with from Excel.

Visual calculations 

A new way of doing calculations has arrived! You can now add calculations directly on your visual using visual calculations, which are DAX calculations that are defined and executed directly on a visual. A calculation can refer to any data in the visual, including columns, measures, or other visual calculations. This approach removes the complexity of the semantic model and simplifies the process of writing DAX. You can use visual calculations to complete common business calculations such as running sums or moving averages. Visual calculations make it easy to do calculations that were previously very hard or even almost impossible to do.

To use visual calculations while in preview, you need to enable it in Options and Settings  ➡️  Options  ➡️  Preview features . Select visual calculations and select OK . Visual calculations will be enabled after Desktop is restarted.

To add a visual calculation, you first need to select a visual. Next, select the New calculation button in the ribbon:

The new calculation button is shown on the Home tab of the ribbon in Power BI Desktop in the Calculations group.

To add a visual calculation, type the expression in the formula bar in the visual calculations edit mode that opens. For example, in a visual that contains Sales Amount and Total Product Cost by Fiscal Year , you can add a visual calculation that calculates the profit for each year by simply typing: Profit = [Sales Amount] – [Total Product Cost].

The visual matrix is updated as you add visual calculations using in the formula bar. New visual calculations are added as columns to the visual matrix.

Additionally, you can easily add a running sum of profit by writing:

You can use many existing DAX functions in visual calculations. Functions specific to visual calculations are also available, such as RUNNINGSUM , PREVIOUS and MOVINGAVERAGE . Using these and other functions, visual calculations are much easier to read, write and maintain than the current DAX required.

Dynamic subscriptions for Power BI reports

Dynamic per recipient subscriptions is now available in Preview for Power BI reports! Like dynamic subscriptions for paginated reports , you can now distribute a personalized copy of a Power BI report to each recipient of an email subscription.

Imagine you have a report that includes sales data for your entire team. You want to schedule an email subscription that sends out a PDF copy of this report to each salesperson on a weekly basis, with the report filtered to only show their sales results.

This can now be done by connecting to a semantic model (previously Power BI dataset) that defines the mapping between recipients and respective filter values. When it’s time to send out the report, the latest data available in your semantic model will determine which employees should receive a report in their inbox, and with what filter values applied.

This February release we added multi-visual container format support ! Previously, when multi-selecting across different visual types, the format pane did not support any options for formatting the visuals. Now, when multi-selecting different visuals, we’ve added formatting support for container formatting such as changing the size, background color, adding a shadow or turning on/off titles in bulk.

We’ve also added the ability to format a visual’s container size and position even if it’s empty:

This month we also bring you a handful of quality improvements to the on-object experience:

  • Bug fix : when working with a non-visual (text box, button, image, shape) the build pane accidentally closing automatically. The build pane now stays open unless explicitly closed regardless of selected item type.
  • Bug fix : style bug where the build pane was showing 5 icons across instead of the usual 6 has been fixed.
  • Bug fix : in some cases, the data flyout was extending beyond the window size making the search box hard to use, this has now been fixed.
  • Enhancement : When choosing a field using the data flyout – you can now click anywhere on the name, not just the checkbox next to it to select the field.

5.Enhancement : If replacing a field in a visual that does not use an aggregation or date hierarchy (other dropdowns are disabled), we auto open the data dropdown to save an extra click.

Power BI Home in Desktop is Enabled by Default

Whether you’re a seasoned Power BI user or new to the platform, Power BI Home ensures a consistent and seamless experience across all your Power BI activities.

Now, you can:

  • Initiate a new report directly from the new home screen.
  • Access reports from recommendations that we have curated.
  • Locate your most recent reports through the Quick Access lists.

Enhanced Reference Layer in Power BI Azure Maps Visual

We’re excited to introduce a significant enhancement to the Power BI Azure Maps visual reference layer feature. In response to valuable user feedback and in alignment with evolving industry standards, we have expanded the capabilities of the reference layer. Now, in addition to supporting the existing GeoJSON format, users can also utilize KML (Keyhole Markup Language) and WKT (Well-Known Text) formats.

We’re also adding URL as a data source alongside file upload. This addition offers users even more flexibility and convenience in importing spatial data into Power BI. Whether your data resides in GeoJSON, KML, WKT, or through a URL link, the Power BI Azure Maps visual seamlessly integrates these formats, ensuring a comprehensive and versatile geospatial analysis experience.

When you add the Power BI add-in to a presentation, you can pick a report suggested to you or paste a link to a specific report.

When you paste a standard report link (the URL copied from the browser address bar), and if sharable links are enabled for your organization and allowed for this report, you have re-share permissions to this report, Power BI add-in can replace the link you pasted with shareable link. In that case you will see a checkbox added below the report URL that offers you automatic access to this report. Just mark this checkbox and Power BI add-in will create a shareable link for you.

Using a sharable link ensures that other users viewing the presentation have the required permission to see the report, and do not need to request access when viewing the presentation.

Powered by Copilot, data overview gives you a summary of what’s contained in the data you’re exploring and highlights some interesting tidbits to get you started. Let us know what you think!

Maximum connections per data source  is a setting to configure the maximum number of connections DirectQuery opens for each underlying data source. This controls the maximum number of queries that can be executed concurrently against each data source and is configurable per semantic model.

We recently updated the upper limit of the number of concurrent Direct Query connections allowed per semantic model. The updated limits for each SKU are listed in the table below.

The upper limit for Power BI PPU is 100 active connections. Note that there is no change to the Power BI Pro and Report Server limits and the default maximum value remains as 10 concurrent connections.

Introduced last September, shared device mode is now generally available! With shared device mode, organizations can safely deploy the Power BI mobile app across their pool of shared devices.  Check it out !

This API allows Custom Visuals to store data directly in the local browser. Data stored locally is more secure and improves the performance of web apps. The API will be controlled by a global admin setting. Learn more about the API.

Our February release introduces the support of the new on-object interaction. This enhancement allows users to build and customize visuals directly on the visual in Power BI Desktop. It puts common actions for creating and formatting visuals on the visuals themselves, actions such as adding fields, changing visualization types, and formatting text.

The primary objective of Power BI Desktop developer mode is to provide friendly source control and co-development experience. With this objective in mind, you can now save your Power BI Project files (PBIP) using  Tabular Model Definition Language (TMDL)  format. TMDL has been designed from the ground up to be human-friendly, facilitating not only readability but also easy editing in any text editor. This represents a substantial enhancement for source control and collaborative development experiences, particularly when dealing with complex file diffs.  

Saving as a PBIP using TMDL is currently in preview. Before giving it a try, you must first enable this feature in Preview features: go to  File  >  Options and settings  >  Options  >  Preview features  and check the box next to “Store semantic model using TMDL format”.  

After enabling the preview feature, when saving as PBIP, your semantic model will be saved as a TMDL folder named “\definition” with separate files for each table, perspective, role, culture:

By default, Fabric Git Integration will still use Tabular Model Scripting Language (TMSL) to export the semantic model during the Public Preview. However, if the semantic model is imported into Fabric using TMDL, then Fabric Git Integration will export the definition into Git using TMDL in the event of any semantic model changes in the service.

We’ll show you how to use sensitivity labels with protection to encrypt and protect your data, and how to enable more users to edit and republish encrypted PBIX files. By the end of this article, you’ll be able to collaborate more securely with your data in Power BI.

Protecting your data with Microsoft Purview

Compliance admins in your organization can use Microsoft Purview Information Protection  sensitivity labels  to manage their org’s sensitive data across different apps and services and meet regulatory and compliance requirements.

They define file protection policies for the sensitivity labels, which result in files being encrypted when such labels are applied, allowing only authorized users to open and edit these files in Office apps and Power BI Desktop.

Sensitivity labels are widely adopted by enterprises today and used to label and protect content in  Microsoft 365  apps such as Excel, PowerPoint, Word, and Outlook, and now in Power BI and Fabric as well.

All you have to do is enable Information Protection in Microsoft Fabric’s Admin Portal and let the labels do the rest.

How Power BI Desktop enforces sensitivity label protection

In Power BI Desktop , we enforce label protection on PBIX files. To open a PBIX file, you either must be the label issuer or have one of the following usage rights .

These usage rights are elevated permissions, as they grant permission to change the sensitivity label. Because Power BI and Office apps use the same label policies, compliance admins may prefer not to grant these usage rights for Highly confidential labels. This might block you from collaborating with your colleagues when you’re sharing or downloading Power BI reports and trying to open them in the desktop app.

Collaborating and keeping label protection on PBIX files

By enabling “ Increase the number of users who can edit and republish encrypted PBIX files (preview) ” in your tenant, users that have been assigned with all of the following usage rights should be able to open, edit, and republish the protected PBIX file to the Power BI service:

  • View Content (VIEW)
  • Edit Content (DOCEDIT)
  • Save (EDIT)
  • Copy and extract content (EXTRACT)
  • Allow Macros (OBJMODEL)

Thus, users who were once restricted can now collaborate with protected files, while keeping protection consistent with the organizational policy.

Note: These usage rights are a sub-set of the “Co-Author” permissions preset in Microsoft Purview compliance center.

What are the restrictions and why?

In order to align with compliance requirements, users with these usage rights are lightly restricted while editing a protected PBIX file.

No exporting to unsupported formats –The user won’t be able to export to formats that don’t support sensitivity labels, such as CSV files.

Why restrict republishing into the original workspace only?

To remain compliant, we must keep users from gaining more permissions, including Power BI permissions (i.e., Read, Write, Reshare and Build). Meaning that a user who wishes to publish should not be able to publish to a workspace that might grant them additional permissions through Workspace roles.

Additionally, this feature is meant for collaborating and sharing items that are more restricted than usual, and confidential data is usually managed in a dedicated workspace. This restriction will prevent users from publishing confidential data across the tenant.

Side note: The file must be published at least once for other users to be able to republish it to that specific workspace. If the file has not yet been published, then the latest label issuer (the one who set the protected label) or a user with sufficient usage rights must publish it and then share the file with the other editors.

How to enable it

Prerequisite: The compliance admin must assign you and your colleagues the proper permissions for that sensitivity label.

Next, Fabric/Power BI admins must enable the feature in Admin Portal > Information protection > Increase the number of users who can edit and republish encrypted PBIX files (preview).

In Power BI Desktop, users who would like to open and edit protected PBIX files must enable the feature by opening File > Options and settings > Options > Preview feature > Less elevated user support.

Final words

With this new feature, users can now collaborate more easily with other users when working on confidential data in Power BI Desktop, without any loss of protection along the way.

IR-2024-45, Feb. 21, 2024

WASHINGTON — During the busiest time of the tax filing season, the Internal Revenue Service kicked off its 2024 Tax Time Guide series to help remind taxpayers of key items they’ll need to file a 2023 tax return.

As part of its four-part, weekly Tax Time Guide series, the IRS continues to provide new and updated resources to help taxpayers file an accurate tax return. Taxpayers can count on IRS.gov for updated resources and tools along with a special free help page available around the clock. Taxpayers are also encouraged to read Publication 17, Your Federal Income Tax (For Individuals) for additional guidance.

Essentials to filing an accurate tax return

The deadline this tax season for filing Form 1040, U.S. Individual Income Tax Return , or 1040-SR, U.S. Tax Return for Seniors , is April 15, 2024. However, those who live in Maine or Massachusetts will have until April 17, 2024, to file due to official holidays observed in those states.

Taxpayers are advised to wait until they receive all their proper tax documents before filing their tax returns. Filing without all the necessary documents could lead to mistakes and potential delays.

It’s important for taxpayers to carefully review their documents for any inaccuracies or missing information. If any issues are found, taxpayers should contact the payer immediately to request a correction or confirm that the payer has their current mailing or email address on file.

Creating an IRS Online Account can provide taxpayers with secure access to information about their federal tax account, including payment history, tax records and other important information.

Having organized tax records can make the process of preparing a complete and accurate tax return easier and may also help taxpayers identify any overlooked deductions or credits .

Taxpayers who have an Individual Taxpayer Identification Number or ITIN may need to renew it if it has expired and is required for a U.S. federal tax return. If an expiring or expired ITIN is not renewed, the IRS can still accept the tax return, but it may result in processing delays or delays in credits owed.

Changes to credits and deductions for tax year 2023

Standard deduction amount increased. For 2023, the standard deduction amount has been increased for all filers. The amounts are:

  • Single or married filing separately — $13,850.
  • Head of household — $20,800.
  • Married filing jointly or qualifying surviving spouse — $27,700.

Additional child tax credit amount increased. The maximum additional child tax credit amount has increased to $1,600 for each qualifying child.

Child tax credit enhancements. Many changes to the Child tax credit (CTC) that had been implemented by the American Rescue Plan Act of 2021 have expired.

However, the IRS continues to closely monitor legislation being considered by Congress affecting the Child Tax Credit. The IRS reminds taxpayers eligible for the Child Tax Credit that they should not wait to file their 2023 tax return this filing season. If Congress changes the CTC guidelines, the IRS will automatically make adjustments for those who have already filed so no additional action will be needed by those eligible taxpayers.

Under current law, for tax year 2023, the following currently apply:

  • The enhanced credit allowed for qualifying children under age 6 and children under age 18 has expired. For 2023, the initial amount of the CTC is $2,000 for each qualifying child. The credit amount begins to phase out where AGI income exceeds $200,000 ($400,000 in the case of a joint return). The amount of the CTC that can be claimed as a refundable credit is limited as it was in 2020 except that the maximum ACTC amount for each qualifying child increased to $1,500.
  • The increased age allowance for a qualifying child has expired. A child must be under age 17 at the end of 2023 to be a qualifying child.

Changes to the Earned Income Tax Credit (EITC). The enhancements for taxpayers without a qualifying child implemented by the American Rescue Plan Act of 2021 will not apply for tax year 2023. To claim the EITC without a qualifying child in 2023, taxpayers must be at least age 25 but under age 65 at the end of 2023. If a taxpayer is married filing a joint return, one spouse must be at least age 25 but under age 65 at the end of 2023.

Taxpayers may find more information on Child tax credits in the Instructions for Schedule 8812 (Form 1040) .

New Clean Vehicle Credit. The credit for new qualified plug-in electric drive motor vehicles has changed. This credit is now known as the Clean Vehicle Credit. The maximum amount of the credit and some of the requirements to claim the credit have changed. The credit is reported on Form 8936, Qualified Plug-In Electric Drive Motor Vehicle Credit , and on Form 1040, Schedule 3.

1099-K reporting requirements have not changed for tax year 2023

Following feedback from taxpayers, tax professionals and payment processors, and to reduce taxpayer confusion, the IRS recently released Notice 2023-74 announcing a delay of the new $600 reporting threshold for tax year 2023 on Form 1099-K, Payment Card and Third-Party Network Transactions . The previous reporting thresholds will remain in place for 2023.

The IRS has published a fact sheet with further information to assist taxpayers concerning changes to 1099-K reporting requirements for tax year 2023.

Form 1099-K reporting requirements

Taxpayers who take direct payment by credit, debit or gift cards for selling goods or providing services by customers or clients should get a Form 1099-K from their payment processor or payment settlement entity no matter how many payments they got or how much they were for.

If they used a payment app or online marketplace and received over $20,000 from over 200 transactions,

the payment app or online marketplace is required to send a Form 1099-K. However, they can send a Form 1099-K with lower amounts. Whether or not the taxpayer receives a Form 1099-K, they must still report any income on their tax return.

What’s taxable? It’s the profit from these activities that’s taxable income. The Form 1099-K shows the gross or total amount of payments received. Taxpayers can use it and other records to figure out the actual taxes they owe on any profits. Remember that all income, no matter the amount, is taxable unless the tax law says it isn’t – even if taxpayers don’t get a Form 1099-K.

What’s not taxable? Taxpayers shouldn’t receive a Form 1099-K for personal payments, including money received as a gift and for repayment of shared expenses. That money isn’t taxable. To prevent getting an inaccurate Form 1099-K, note those payments as “personal,” if possible.

Good recordkeeping is key. Be sure to keep good records because it helps when it’s time to file a tax return. It’s a good idea to keep business and personal transactions separate to make it easier to figure out what a taxpayer owes.

Direct File pilot program provides a new option this year for some

The IRS launched the Direct File pilot program during the 2024 tax season. The pilot will give eligible taxpayers an option to prepare and electronically file their 2023 tax returns, for free, directly with the IRS.

The Direct File pilot program will be offered to eligible taxpayers in 12 pilot states who have relatively simple tax returns reporting only certain types of income and claiming limited credits and deductions. The 12 states currently participating in the Direct File pilot program are Arizona, California, Florida, Massachusetts, Nevada, New Hampshire, New York, South Dakota, Tennessee, Texas, Washington state and Wyoming. Taxpayers can check their eligibility at directfile.irs.gov .

The Direct File pilot is currently in the internal testing phase and will be more widely available in mid-March. Taxpayers can get the latest news about the pilot at Direct File pilot news and sign up to be notified when Direct File is open to new users.

How to find and enable missing Copilot button in Microsoft 365 apps

Copilot is available in the Home ribbon tab of Word, Excel (Preview), PowerPoint, Outlook, and OneNote if you are a Copilot Pro subscriber who also has a subscription to Microsoft 365 Personal or Family.

If you have those subscriptions and are not seeing Copilot in these Microsoft 365 apps, follow these steps:

Important:  Copilot in Outlook only supports work or school accounts, and Microsoft accounts using outlook.com, hotmail.com, live.com, and msn.com email addresses at this time. Any Microsoft account using an account from a third-party email provider, such as a Gmail, Yahoo, or iCloud, can still use Outlook, but won’t have access to the Copilot features in Outlook.

Step 1 - Ensure you're using the correct account

Make sure you're signed into your Microsoft 365 apps with an account that has a Copilot license.

For home users ...this means you should have a Microsoft 365 Personal or Family subscription, and Copilot Pro.

For business users ...this means you should have a Microsoft 365 Business Standard, Business Premium, E3, or E5 subscription, and Microsoft Copilot for Microsoft 365.

Step 2 - Make sure that the current file is saved in that account

If you have multiple file locations available to you - such as your business OneDrive and your personal OneDrive - Copilot will only appear if the file you have open is saved to the location associated to your Copilot subscription.

For example, if you have Copilot through your work account, but not through your personal account, and you open a file from your personal OneDrive, Copilot won't work with that file.

For new, unsaved files, or files on your local hard drive, the current primary account shown at the top of the Microsoft 365 window must be licensed for Copilot.

Important:  Copilot in Excel requires AutoSave to be turned on, which means the file has to be saved to OneDrive. It currently doesn't work with unsaved files.

Step 3 - Refresh your license

Force a refresh of the license.

Note:  These steps must be done by the account administrator.

 In any Microsoft 365 app, go to File > Account .

Close and restart all Microsoft 365 apps you might have open so that the license refresh can take effect.

  In any Microsoft 365 app, select the app name at the top of your screen.

Close any open documents and restart all Microsoft 365 apps you may have open so the license refresh can take effect.

Ensure your apps are updated to their latest versions via your device's app store.

Close your app completely, and then re-launch it.

Refresh the page

Select the Refresh icon in your browser to see if the Copilot features appear.
