Syntax of the RAND Formula

The generic formula for the RAND function is:

The function returns a random decimal number between 0 and 1 and has no parameters.

Syntax of the INDEX Formula

The generic formula for the INDEX function is:

=INDEX(array, row_num, column_num)

The parameters of the INDEX function are:

  • array – a range of cells where we want to get a data
  • row_num – a number of a row in the array for which we want to get a value
  • column_num – a column in the array which returns a value.

Syntax of the RANK.EQ Formula

The generic formula for the RANK.EQ function is:

=RANK.EQ(number, ref, [order])

The parameters of the RANK.EQ function are:

  • number – a number for which we want to find the rank in the array
  • ref – the array where we want to rank the number
  • [order] – a type of ranking data in the ascending or the descending order (0 or omitted value).

Syntax of the COUNTIF Formula

The generic formula for the COUNTIF function is:

=COUNTIF(range, criteria)

The parameters of the COUNTIF function are:

Setting up Our Data to Create a Random Schedule in Excel

Our first table consists of 2 columns: “Task list” (column B) and “Random Number” (column C). The second table consists of 2 columns: “Week” (column E) and “Task” (column F). The idea is to randomly fill column F with the tasks from column B.

Create a Random Schedule with RAND, INDEX, RANK.EQ and COUNTIF Functions

We want to get the random task from column B and to place the result in column F. In order to make the formula more clear, we will create a named range Task for cell range B3:B7 and a named range Random_Number for the cell range C3:C7.

To create a named range we should follow the steps:

  • Select the cell range that should be named
  • Click on the name box in Excel
  • Write the name for the cell range and press enter

The formula in Column C looks like:

The RAND function gets the random value from 0 to 1. The randomized values are placed in column C and will help us to get the random schedule in column F.

To apply the formula, we need to follow these steps:

  • Select cell C3 and click on it
  • Insert the formula: =RAND()
  • Press enter.
  • Drag the formula down to the other cells in the column by clicking and dragging the little “+” icon at the bottom-right of the cell.

Now we can place the formula in the cell F3 to get the weekly random task list

The parameter array in the INDEX function is a named range Task while the row_num is the formula RANK.EQ(C3,Random_Number)+COUNTIF($C$3:C3,C3)-1. In the RANK.EQ function, the number is a cell C3 while the parameter ref is the named range Random_Number. An order is omitted because we want to rank in descending order. Finally, the parameter range in the COUNTIF function is the cell range $C$3:C3 while the criteria is the cell C3.

  • Select cell F3 and click on it
  • Insert the formula: =INDEX(Task,RANK.EQ(C3,Random_Number)+COUNTIF($C$3:C3,C3)-1)

The RANK.EQ function result is number 3, the rank of the cell C3 in column C. The COUNTIF function checks if the value in the cell C3 appears for the first time in the list. Since the value in the cell C3 is a unique value COUNTIF formula result is number 1. After this step INDEX function looks like: INDEX($B$3:$B$7,3+1-1)  and final formula result is the 3rd task from the column “Task list”.

    Using the random picker

To perform a random pick of an item from a list, start by feeding the tool with a list of things, one thing per row. It could be a list of names (e.g. if you are picking a winner for a raffle), prizes (e.g. for picking prizes for a tombola), or anything you'd like. If you have the list in a spreadsheet as a single column, then simply copying it and pasting it in our tool should work. Our random picker can handle lists of up to 10,000 things.

Finally, simply press the "Pick Randomly" button and let our randomizer do its job. What it does is equivalent to rolling a fair dice with as many sides as there are things in your list - each one has an equal probability to be picked.

    How to randomly draw multiple items from a list

You start in similar fashion to how you would draw one random thing from a list and then you change the default value of the "Number of items to pick" field from 1 to as many as you'd like to select from the provided list. The maximum items you can randomly pick in one go is 1,000. Obviously, the number of things you provide should be larger than the number of items you want to randomly select from it.

If you have picked a lot of items you can easily select them all using Cltr+A (on a PC) and then copy and paste as necessary.

Yes, the picked items are as random as they come. Our tool first assigns incremental integer IDs to each thing you enter, then uses a strong random number generator to produce a number in the range from 1 to the total number of things. The algorithm results in an unbiased draw meaning that each item from the list has an equal probability of being picked. The picker can be used instead of a coin toss, a dice roll, a lottery / tombola / raffle drawing machine. You no longer need to fold papers with names or prizes written on them!

  • To randomize the list, we can sort it. To do this, click “ Data ” in the main header bar.
  • Select how you want to view your data from the list of “Sort” options (ascending or descending order). Your data will be displayed in ascending or descending order, depending on your choice.

The RAND formula doesn’t have any parameters, which is why the brackets need to be empty. Depending on your Excel settings, the values in the cell may be recalculated every time the worksheet is updated. If you want to have the same numeric values, copy and paste them back into the cells.

The RANDBETWEEN function is very similar to RAND. However, it returns a random number between a defined number range by the user. Here is how to use RANDBETWEEN to create a random number list:

  • We can sort the list in ascending or descending order to randomize it. To do this, click “ Data ” in the main header bar.
  • Now, click the appropriate “ Sort ” options (A-Z or Z-A).

After displaying a confirmation message, the data will be organized according to your chosen sorting order.

How To Randomize a List in Excel Using CHOOSE and RANDBETWEEN

If you don’t want to use the sorting function, an alternative method is to combine the CHOOSE and RANDBETWEEN formulas. If there is only one column that you want to randomize or if you’re randomizing the last column, then you can skip to step 3 (below).

  • Click on the cell next to the main column you wish to randomize to add a new column.
  • Enter the initial part of the CHOOSE formula: =CHOOSE(
  • Now enter the value parameters. These parameters will depend on the number of cells in the column. In the example above, we have five cells with five value parameters. Make sure the values are separated using a Comma (,) .
  • Add a Closing Bracket “ ) ” to finish the formula and press “ Enter ” to execute it.

You can execute the nested formula in a single cell or drag-fill it in the entire column if you want to create a longer list. NOTE: This formula will duplicate values.

Team Picker Wheel is a random team generator developed by Picker Wheel team. It helps you to split a list of names into teams or groups. It is also known as a random group generator or can be used as a random pair generator.

By inserting the list of names into the team generator, the team generator will randomize all the names you entered into equal groups. You can set the number of groups or the number of people/group you want to create, generating equally into random groups.

Sometimes choosing which task to do next from a list of tasks is an arbitrary decision, meaning it does not really matter which task we do next from the given tasks. 

In those situations it can be helpful to just get a random task with the click of a button so you don't waste any energy and time trying to make that decision! ​ This is exactly what you get with this strategy! 🙂 ​ To get a random task click on the "Get Random Task" button that you'll see after clicking the 3 dots icon ( 
 ) on the top-right of your list. You can also use this functionality with any Smart List you have in your day view (via the custom sidebar or custom squares for example).

If instead of a random task you want a "suggested" task from Marvin, use the suggested task strategy instead. 

Google Tasks is the best Gmail feature you forget to use

It's hard to keep track of all the nifty features spread across Google's many official apps. As a recovering Inbox fanatic, I often overlook Gmail's many buttons and features because the interface is so convoluted and busy. But while planning for my upcoming Mobile World Congress 2024 trip, I found a button that will change my life going forward: Google Tasks.

In an effort to figure out a way to be better organized this year, I paused for a moment to look at the Gmail interface and noticed an "add to Tasks" button I'd never noticed before. How long has this button been here, and better yet, what does it do? Turns out it's one of the best to-do apps and, better yet, it's totally free.

As someone who loves being organized — but regularly fails spectacularly at the task — a single button to add an email to my task list is a godsend. Before this, my to-do list was often scattered between several different apps or physical notebooks, leaving me trying to remember where to find my next objective. It wasn't very efficient, to say the least.

While reading an email, you only have to click this little "Add to tasks" button on the action bar inside of Gmail on the desktop UI.

Note : the mobile Gmail app hides it a bit, so you'll have to click the overflow menu on the top right — yeah, the very top-right overflow menu, not the identical-looking one on the email itself — to add to tasks. Did I mention Gmail's UI is convoluted and confusing? Google, please bring back Inbox, thanks.

But I digress; back to the Tasks at hand. Tapping the "Add to tasks" button will open a sidebar showing your new and existing tasks. Each task on the list has a quick button to check it off and a direct link to the email under the subject line.

Clicking on the subject will open more options including adding your own detailed notes, as well as setting a date for the task to be completed.

Being able to easily set reminders and task completion times for emails is particularly helpful for my job, as I often receive info ahead of time that needs to be written up or reviewed at a very specific time in the future.

Beyond this, you can click the overflow button next to each subject to pull up more options, like moving it to the top, indenting it in the list, adding a subtask, or even adding it to a separate task list.

The UI is far better on desktop than on mobile, as everything can be easily accessed in the Gmail desktop UI. The mobile flow requires a separate Gmail and Google Tasks app to get things done, which is a little less efficient.

Still, having a dedicated Tasks app could be handy enough on mobile since it makes it simple to separate task lists. Having different lists for e-mail to-dos and something else could certainly be beneficial.

As I've started to become more dependent on Google Tasks in my daily life, I've realized just how many services Google has begun to integrate into Tasks. Google Assistant tasks migrated over to Google Tasks last year , and you can make tasks directly from Google Calendar.

In fact, the desktop Tasks UI is baked into the Google Calendar web app, showing just how deep the integration with Calendar goes. We even have a bunch of Google Tasks tips and tricks to help you integrate it into your life more, which have come in handy as I began this journey.

In short, Google Tasks is probably the best productivity app I've ever used because of its simplicity and deep tie-ins to services I already use every day. Hopefully, it'll be just as helpful to you, as well!
