Facebook’s social Zoom competitor Messenger Rooms goes live globally

Zoom was never meant to be a social network, but the enterprise video chat app has become essential software for those looking to stay in touch with friends and family during the pandemic.
Today, Facebook looks to steal back the service’s social video chat growth as it globally launches Messenger Rooms, its new group video chat service, supporting video calls with up to 50 participants with no time limits on call length. The feature capitalizes on video chat’s massive spike in usage across services and hooks it up to the growth tactics Facebook used to push Facebook and Instagram Live into everyone’s feeds.
Messenger Rooms is a drop-in video chat, so when a friend using the feature creates a room, Facebook will alert users via a new section in the news feed or push a notification to certain friends. As Facebook detailed when it announced the feature, soon users will also be able to join and initiate calls from inside Instagram DMs, WhatsApp and on Portal, making this a company-wide social effort for the company.
For now users can kick off a call from Messenger or the Facebook app and send out invites to users, even ones that don’t have a Facebook account.
During the latest earnings call, Facebook CEO Mark Zuckerberg said time on group video chats had increased 1,000% in recent weeks. Given the feature’s social grounding and lack of screen sharing, the app isn’t likely to scale heavily into enterprise use cases and infringe on Zoom’s core business. With Messenger Rooms, Facebook is looking to create a scalable, free alternative and steal back some of the conversation from platforms like Zoom and TikTok, which have been awfully buzzy during recent months.

Pre-assigning meeting participants to breakout rooms
As a meeting host, you can pre-arrange your meeting participants into breakout rooms when scheduling the meeting. This can be useful if you already know how you want to group your participants.
You can also manage your breakout rooms during the meeting.

Limitations for pre-assigning meeting participants to breakout rooms
- You can pre-assign up to 100 rooms and up to 1000 participants. Learn more about breakout room capacity limitations .
- Only one set of pre-assignments can be configured for a meeting. These assignments can be adjusted and changed, but it is not possible to store multiple sets of pre-assignments for one meeting or meeting series.
- You can only pre-assign participants that have a Zoom account (internal or external Zoom users).
- To pre-assign participants that are external Zoom users, import a CSV file .
- If you scheduled recurring meetings , the pre-assigned breakout rooms will only work if it's applied to all meetings in the recurrence. You can't edit a single meeting in the recurrence and apply a unique pre-assignment.
How to pre-assign participants to breakout rooms using the web portal
- Sign in to the Zoom web portal.
- In the navigation menu, click Meetings .
- Click Schedule a Meeting .
- In the Options section, select the Breakout Room pre-assign checkbox, then click Create Rooms . A Breakout Room Assignment window will appear.

- In the Add participants text box, search for internal participants by name or email address, or manually enter the email address of external users, and then press Enter to to add them to the breakout room.
- Click and drag a participant's email address to change the order.
- Hover your mouse over a participant's name to see options to move them to another room or remove them from the current room.

- Click Save .
- In the Options section, select the Breakout Room pre-assign checkbox, then click Import from CSV . An Import Rooms and Participants from CSV file pop-up window will appear.
- In the pop-up window, click download to download a sample CSV file you can fill out.
- Open the CSV file with spreadsheet software, such as Microsoft Excel. Note : You can specify Zoom users that are internal (in the same account) or external (not in the same account).
- Fill in the Pre-assign Room Name column with the breakout room name, and the Email Address column with the assigned participant's email address.
- Save the file.
- In the web portal, drag and drop the file into the Import Rooms and Participants from CSV file pop-up window. Zoom will verify that the email address has a Zoom account.
If you have already pre-assigned participants to breakout rooms, you can edit the assignments before you start the meeting.
Note : You can also manage breakout rooms during the meeting.
- Click the meeting you want to edit.
- In the Breakout Room section, click View detail .
- Edit the breakout rooms as needed. See the previous section for more details.
- Start the meeting with participants pre-assigned to breakout rooms.
- If a participant is not automatically assigned to the breakout room you specified when scheduling the meeting, recover to pre-assigned breakout rooms to re-assign participants to their pre-assigned breakout rooms.
- You can manually assign participants using the in-meeting breakout room controls .
- Click Open All Rooms to start the breakout rooms.
After starting the breakout rooms, you can recover to the breakout rooms assignment you previously specified. This can be useful if you changed your breakout rooms during the meeting, or pre-assigned participants have joined the meeting after you joined the meeting or started breakout rooms.
- Click Close All Rooms to end all breakout rooms.
- Click Recreate then Recover to pre-assigned rooms . Participants will be reorganized into the breakout rooms you specified when scheduling the meeting.

How to create and manage breakout rooms in Zoom

So, you've found yourself in a Zoom breakout room with colleagues you've never spoken with, a clueless host, and no direction on how to proceed. Par for the course.
In theory, Zoom breakout rooms allow you to facilitate small group discussions and collaboration within meetings, improving engagement—but only if they're done correctly.
Here, I'll walk you through how to create and manage breakout rooms in Zoom and provide some pro tips to keep participants from pretending their Wi-Fi went down mid-meeting.
Creating breakout rooms in Zoom
You can create breakout rooms in Zoom both before and during a meeting, but I recommend doing so beforehand to avoid mid-meeting mishaps.
Step 1: Enable breakout rooms
You first have to enable the breakout room feature, if it isn't enabled already. Here's how:
Log in to your Zoom account via the online web portal.
Click Settings on the left-hand menu, and scroll down to the In Meeting (Advanced) section.
Look for the Breakout Room – Meetings option, and toggle it on.

Step 2: Pre-assign participants (recommended)
While this step is technically optional, to me it's essential to avoid wasting everyone's time. Nobody wants to sit and watch their Zoom host silently struggle to organize breakout rooms for five minutes in the middle of a meeting.
Here's how to pre-assign participants to specific breakout rooms:
In the same In Meeting (Advanced) section of Zoom's settings, select Assign participants to breakout rooms when scheduling , then click Save .

Go to Meetings in the left-side menu, and click Schedule a Meeting .

Modify your meeting preferences, then scroll down and click Show next to Options .
Choose Breakout Room pre-assign , then click + Create Rooms .

A menu will appear where you can add or remove rooms and assign participants to them. Adjust as desired, then click Save .

Step 3: Create your breakout room
If you scheduled the meeting in advance and pre-assigned participants to specific breakout rooms (AKA the right way), you don't need to add participants during the meeting—just start your scheduled session and everyone will be added automatically.
Still, you can create, access, and manage breakout rooms once the meeting begins. Here's how to do it:
As the host, start the meeting and wait for all participants to join.
Click the Breakout Rooms button on the bottom menu. A breakout room panel will appear.
Select the number of rooms you want.
Choose whether you want to assign automatically, manually (more on this below), or let participants choose a room. That last option can open the door to some chaos—you've been warned.

Adding participants to breakout rooms manually
Forgot to pre-assign participants? Follow these steps to add people manually during the meeting:
In the same breakout room panel shown above, choose Assign manually . All your rooms will appear.
Hover over the room you want to assign a specific participant, click Assign , then mark the checkbox next to the participant's name.

3. Once you complete the changes, click Open All Rooms to start your meeting.
Managing your Zoom breakout rooms
You've created your breakout room—now it's time to configure it. Here are some key features and how to use them.
Move, rename, delete, or re-assign participants
Zoom allows you to easily move participants between breakout rooms, rename the rooms to reflect their purpose, delete empty rooms, or re-assign participants from one room to another. This ensures that your breakout sessions align with your meeting's purpose.
To move participants between breakout rooms, click the Move to option next to the participant's name and select the desired room from the list.

To rename breakout rooms , hover over the room name, and click on the Rename option. Enter the new name, and click Yes to save.

To delete empty rooms , hover over the room name, and click Delete Room .

Adjust options
Zoom provides additional options to enhance your breakout room experience.
Set a time limit. To limit breakout room session duration, click the gear symbol on the bottom-left of the panel. Check the box for Auto close breakout rooms after [provided field] minutes , then enter the desired duration.

Allow participants to return to the main session. By default, participants can leave the breakout rooms and return to the main session whenever they want. To deactivate this feature, uncheck Allow participants to return to the main session at any time in the same settings panel.

Show participants a countdown timer. To notify your participants that their rooms are about to close with a countdown timer (rather than yanking them out mid-sentence), check Countdown after closing breakout room in the same settings panel and specify how long you want the countdown to be.

Broadcast messages to all rooms
If you forgot to tell everyone what to chat about before sending them into their breakout rooms, you don't have to awkwardly hop into every room to interrupt the convo and give verbal directions—just broadcast a message.
Click Broadcast Message in the breakout room panel, and enter your message.

The message appears at the top of the participants' Zoom client.

Monitor meeting participants
To check if people are doing what they're supposed to be doing, here's what you can do:
Open the breakout room panel with the list of rooms and assignees. The list will show each participant's name and status, like "joined" or "waiting."
To join any specific breakout room, click Join next to its name.
When you're done monitoring a breakout room, return to the main meeting session by clicking the Leave Room button at the bottom-right corner of the Zoom window. Then click Leave Breakout Room.

Closing rooms
When it's time to end the breakout sessions and bring everyone back to the main meeting, you can close the breakout rooms by following these steps:
Open the breakout room panel.
Click Close All Rooms .
A confirmation will appear. Confirm to close all breakout rooms.
Tips for running breakout rooms in Zoom
Check out these tips to make your breakout sessions less awkward.
Plan ahead. Like any other meeting, preparation is key. Tell your participants why they're being put into a breakout session, set clear expectations, and think through all logistics in advance.
Diffuse discomfort. Break the ice by asking participants a fun question or prompt to kickstart their discussions. It's a great way to get the conversation flowing, but keep it original—your guests have probably been asked, "What did you do over the weekend?" five times this week already.
Communicate expectations. Don't leave participants guessing if their breakout session will last forever. Communicate how long it'll last beforehand to help them manage their time well and avoid confusion.
Prepare for technical issues. Technical glitches are bound to happen. Prepare a backup plan and give participants clear instructions on what to do if they encounter a (hopefully not made-up) issue.

Here are some answers to common Zoom breakout room questions.
Can you make breakout rooms in Zoom's free version?
Yes! You can create and use breakout rooms during meetings without a paid Zoom subscription.
Can you add breakout rooms in Zoom during a meeting?
Yes. While your meeting will probably (definitely) run smoother if you create your breakout rooms beforehand, there are occasions when adding participants during the meeting is necessary, like when someone who had declined the meeting messages you last-minute that they want to join. Assuming you have breakout rooms enabled and your meeting has already started, invite this person and click Assign manually to add them to the desired room.
How many breakout rooms can you create at once?
It depends on which Zoom version you have available. The free plan allows up to 50 breakout rooms in a single meeting. The Pro, Business, Education, and Enterprise plans allow for 200 breakout rooms in a single meeting.
Who can see breakout room chats?
This depends on the participant's role and the meeting host's settings. As the host, you can see the chats happening in all breakout rooms. Participants assigned to the same breakout room can see and participate in the chat for their own room, but not other rooms.

Tutorial: Zoom breakout rooms
This is a simple guide to using breakout rooms in a Zoom class session to facilitate small group discussions.

Creating and pre-assigning breakout rooms
Initiating breakout rooms during a zoom session, using breakout rooms effectively.
The simplest way to do breakout rooms is to assign students randomly during a class session. However, if you want students to be pre-assigned to breakout rooms (perhaps based on group project assignments), you can do so before class begins.
1. Sign into the Zoom web portal at www.washington.zoom.us .
2. Navigate to Settings on the menu on the left and scroll down to In Meeting (Advanced) to enable breakout rooms and enable assigning participants to breakout rooms when scheduling a meeting.

3. Click on Meetings as the lefthand side. If you have already created the meeting in Canvas, then you will need to find it in your meeting list, hover over it, and click the Edit button. Alternately, if you have not yet created a meeting, then you can click Schedule a Meeting at the top right.
4. In the meeting options, select Breakout Room Pre-assign and click on Create Rooms.

5. Click the plus icon beside Rooms to add breakout rooms. Type students' emails into the Add Participants box. Hover over the default breakout room name and click the pencil icon to rename it or click the trash icon to delete it. Hover over a participant's name to see options to move them to another room or remove them from the current room. Click Save when you are done.

Note: If you have set up a recurring Zoom meeting for your class, Zoom will remember the randomly assigned breakout room groups and keep them the same from session to session.
1. While you are in a Zoom session, click on the Breakout Rooms icon in the menu bar. A pop up window will appear.

2. Check your settings. Assigning students automatically will randomly divide them between the number of rooms you specified. Assigning students manually will require you to assign each student to a room. Click Create Rooms to move on to the next step in creating the breakout rooms.
3. Verify that students are assigned to appropriate rooms. If you've pre-assigned breakout rooms, click Revert to pre-assigned rooms to ensure students are in the breakout rooms you specified when you scheduled the meeting.
4. Click on Options to manage the settings. Here you can allow students to return to the main session at any time (we strongly suggest selecting this option), automatically close rooms after a set amount of time, notify you when the time is up and students return to the main room, and include a countdown that shows students how much longer they have in their breakout rooms. Adding a timer to the breakout session is personal preference; you'll always be able to manually end the breakout session by clicking Close all rooms at any time.

5. Click Open All Rooms when you are ready to start the breakout session. Once you've confirmed, the students will be automatically prompted to join their breakout room.
6. The students (and the host when manually joining a room) will see the following message shown when joining the breakout room.

7. Now that the breakout rooms are in progress you will see the below window. If a student has not joined the breakout session yet, it will be noted by "(not joined)" next to their name. You can click Join next to breakout room to enter it and participate in the conversation. You can also send a message to all by clicking Broadcast a message to all if you wanted to add another discussion prompt or give a five minute warning.

8. Click Close All Rooms to end the breakout session (or allow the rooms to time out if you specified a time limit). Once the rooms are closed, Zoom provides one minute for students to leave breakout rooms and come back to the main room.
- Put students in small groups (3-4). Ask them to introduce themselves to each other when they arrive in their breakout rooms.
- Remind students that expectations for professionalism and good netiquette apply in the breakout rooms as well. Students should always be allowed to return to the main room or request that the instructor (the meeting host) join their breakout room if needed. Zoom provides a button for students to do this easily.
- Prime students to go from passive to active mode. Give students very clear directions about their objective in the small breakout groups and what will be expected of them when the breakout session is over. Consider doing a class-wide poll before the breakout session to prime them for active mode.
- Students will no longer have access to anything in the main room once the breakout session has begun (including the chat and the whiteboard). Consider posting the discussion objectives/prompts on Canvas and ensuring each student has Canvas up in another window before the breakout session begins.
- Ask that students report back to the entire class once the breakout session is complete. Consider having them produce a specific deliverable rather than just a summary of what they discussed.
- Consider your asynchronous students. Zoom does not record anything in breakout rooms. Clarify how your asynchronous students can complete a version of the breakout room activity on their own, if applicable.

As a meeting host, you can create B reakout Rooms during the Zoom meeting. Zoom also allows you to pre-assign participants to Breakout Rooms before the start of your meeting.
Schedule a New Meeting
If you do not have a recurring Zoom meeting or Zoom meeting setup in your Canvas course first go to your course in Canvas, click on Zoom, and s chedule new meeting.

Pre-Assigning Users to Breakout Rooms within the Zoom Website
Breakout Room settings cannot be accessed through the Canvas interface, so you will need to access Zoom from a web browser to pre-assign participants to Breakout Rooms .
- Login to your Brown Zoom account by going to brown.zoom.us and click Log In.
- Log in with your Brown username and password.
- In the upper-left corner of your Zoom profile page, click the Meetings button.

- Then you will need to click the Edit button on the bottom-left of the page to access the Meeting's Settings.
- Scroll down to the Meeting Options area, click Show to expand it, and check both the Mute participants upon entry box and the Breakout Room pre-assign box.

Directly assigning users to Breakout Rooms via the Zoom website’s interface

- To add participants to a given Breakout Room , go to the Add participants box and type in their name. Then, hit Enter/Return on your keyboard to save that user to the Breakout Room.
- You can add additional Breakout Rooms to your Meeting and assign additional participants to each as necessary. If you wish to add Teaching Assistants (TAs) to any of the rooms make sure to assign them to a Breakout Room. When you have finished creating all the Breakout Rooms that you want to use, click the Save button.

Pre-Assigning Users to Breakout Rooms with a CSV upload
Before starting this process, we recommend that you have a list of your students' email addresses.

- Click the download link in the pop-up window that appears in order to download a .csv template for B reakout Room pre-assignments. You will want to save this .csv template to your device.

- To add a user to a given Breakout Room , you will want to put the desired Breakout Room’s name in Column A (starting with Row 2) and their Brown email address in the same row in Column B. Do not replace the title cells in Row 1.

- To add another Room and assign users to it, simply use a different Room Name in Column A for each user. Again, ensure the Room Name spelling is consistent between users for that room. If you wish to add Teaching Assistants (TAs) to any of the breakout rooms make sure to include them in the CSV file.
- Once you have finished entering in all of your Room assignments, save the .csv file to your device.
- Return to the Zoom menu in your browser. You can either drag and drop the newly created .csv file into the pop-up window or use the browse link to locate the file in your device’s storage. Once you have selected the .csv file, Zoom should automatically create Breakout Rooms and assign users based on the contents of that .csv file.

9. Make sure to select Save in the bottom right corner.

Using Pre-Assigned Breakout Rooms in a Meeting
Once you have set Breakout Room pre-assignments for a Meeting, the Rooms will automatically be created when you start the Meeting. The Rooms will start out empty and will gradually be populated as assigned participants enter the meeting.
Students need to be signed in to their Brown Zoom account for the Breakout Room pre-assignment to work ( brown.zoom.us ), since their Brown email addresses are used when pre-assigning.
You are not locked into using the pre-assigned Breakout Rooms in your meeting. You can freely create and delete Breakout Rooms as well as change participant assignments using the Breakout Rooms menu within the Meeting Settings (for example to account for absences).

- The Breakout Rooms menu should appear in a pop-up window. From here, you can create additional Rooms, delete rooms, and shift participants around your rooms in the same way you would manage Breakout Rooms created during the Meeting .

You can either default back to the pre-assignment Breakout Rooms and their participant assignments by clicking Recover to pre-assigned rooms , or empty all current Breakout Rooms by clicking Recreate all rooms .

Recording Breakout Rooms
We discourage recording breakout rooms unless it is for accessibility or a specific use case. Breakout sessions can only be recorded locally, which can easily be shared, creating privacy concerns.

In this guide, you’ll learn how to pre-assign participants to breakout rooms for a Zoom meeting.
Manually creating breakout rooms during a live Zoom meeting can be challenging and may use up a lot of valuable interaction time, especially for larger audiences. Pre-assigning breakout rooms can help make the transition from the main meeting room to a breakout room much smoother and quicker.
As a Zoom Scheduling Host , you can split your meeting participants into breakout rooms when scheduling the meeting. This can be useful if you already know how you want to split up your participants, especially for larger classes or classes with a lot of moving parts.
Note: Only the Zoom Scheduling Host can pre-assign participants to breakout rooms.
Limitations
- Users who join a Zoom meeting using the Zoom Mobile App or H.323/SIP devices can participate in breakout rooms but cannot manage them.
- Zoom Rooms and H.323/SIP devices cannot be pre-assigned to breakout rooms.
- Participants joining via a web browser must use Chrome to join breakout rooms.
Pre-Assign Breakout Rooms
- Note: Because participants will already be logged in to Canvas, scheduling the meeting using the Zoom LTI in Canvas will increase the number of students successfully pre-assigned to their rooms.

- If this is a recurring meeting, an Edit Meeting window will appear.
- Click the All button if you’d like to have the same breakout rooms for every occurrence.

- Click Download to download a sample CSV file you can fill out.
- Open the CSV file with spreadsheet software, such as Microsoft Excel.

- Save the file.

- Click Save .

Starting a meeting with pre-assigned breakout rooms

- If a participant joins before you (the host), they will be automatically assigned to the breakout room you specified when scheduling the meeting.
- If a participant joins after you (the host), they will not be automatically assigned to the breakout room you specified when scheduling the meeting. Revert to pre-assigned breakout rooms to assign participants to their pre-assigned breakout rooms.
- If a participant joins after you started the breakout rooms, they won't be pre-assigned to the breakout room you specified when scheduling the meeting.
- If a participant is in their pre-assigned breakout room and they leave the meeting and rejoin, they won't rejoin their pre-assigned breakout room.
- You can manually assign participants using the in-meeting breakout room controls , or revert to pre-assigned breakout rooms .
Reverting to pre-assigned breakout rooms
After starting the breakout rooms, you can revert to the breakout rooms assignment you previously specified. This can be useful if you changed your breakout rooms during the meeting, or pre-assigned participants have joined the meeting after you joined the meeting or started breakout rooms.
- Click Close All Rooms to end all breakout rooms.
